Zoho Digital Adoption Platform (DAP) is an employee onboarding solution that helps organizations deliver contextual, in-product guidance.
Zoho DAP for Zoho Projects allows teams to create Walkthroughs, Interactive Videos, Guides, Banners, and Help Hubs that appear directly inside Zoho Projects, helping users guide at the point of need.
Access Zoho DAP
- Go to dap.zoho.com
- Sign in with your account.
- Select Zoho Projects as the product.
- Click Create Workspace.
Zoho DAP for Zoho Projects works in the following flow:
- Add and assign user roles to control who creates and who consumes content.
- Create guidance content such as Walkthroughs, Interactive Videos, and Guides. Once the content is created, admins can verify and make it live so that it becomes available for distribution.
- Distribute the content through Web Banners or Help Hub to surface this content inside Zoho Projects.
- Publish the Web Banner or Help Hub from the Publish Content section to share it visa link to the users or deliver them Zoho in Projects portal.
Manage Workspace Users
Zoho DAP supports three user roles: Admins, Collaborators, and Consumers.
Add Admins
Admins can create, edit, publish, and manage all DAP content.
When a workspace is created, all the Admins in the Zoho Projects portal will be added as Admins in the DAP organization by default.
- Navigate to Workspace Setup (
)> User Management.
- Under Admins, click Add Admins.
- Choose one of the following options:
- Add all product admins: Adds all existing Zoho Projects admins as DAP admins.
- Add admin manually: Enter the email ID and click Add.
Add Collaborators
Collaborators can create and edit DAP content but cannot publish it.
- Navigate to Workspace Setup(
) > User Management.
- Under Collaborators, click Add Collaborators.
- Choose one of the following options:
- Add users from specific roles: Adds users mapped to the selected organization role as collaborators.
- Add collaborator manually: Enter the email ID and click Add.
Add Consumers
Consumers can only view published DAP content inside Zoho Projects.
- Navigate to Workspace Setup (
) > User Management.
- Under Consumers, click Add Consumer > Add all users.
- Click Done.
Content Creation
Create Walkthroughs
Walkthroughs guide users through step-by-step processes inside Zoho Projects.
- Navigate to Walkthrough under Web Studio in the left panel.
- Click Create New Walkthrough.
- Install the DAP browser extension from the prompt.
- The extension prompt appears only when users create DAP content for the first time.
- Click Install and Add the extension to Chrome.
- Return to DAP and click Finish.
- Click Redirect to open Zoho Projects and click + Add Step and select a target UI element.
- For every step:
- Enter a Heading.
- Enter supporting Text.
- Configure Next and Quit buttons.Choose navigation behavior.
- Users can customize and choose target element preference each step from the right panel to fine tune the content.
- Click + Add Step for additional steps.
- Click Review and Save.
- Review page URLs, element selectors and click Proceed to Save.
- Enter Flow Name, Intention and Flow Starting Page Name
Click Save.
Verify and Publish
- Navigate to Walkthrough under Web Studio in the left panel.
- Click Verify on the drafted walkthrough.
- Click Proceed to open the mapped Zoho Projects page.
- Click Verify and Proceed to launch the walkthrough on the product page.
- This verifies that all target elements are correctly identified and each step is as expected.
- Click Verify to complete verification.
- After successful verification, click Go Live to make it accessible for the users.
Only live contents can be used for Web Banners or added to a Help Hub in Zoho Projects.
Create Interactive Videos
Interactive Videos capture real workflows in Zoho Projects and convert them into guided, voice-assisted interactive learning content.
- Navigate to Interactive Video under Web Studio in the left panel.
- Click Create New Interactive Video.
- A recording dialog will be displayed.
- Click Start Recording.
- Zoho DAP will redirect users to Zoho Projects and starts capturing on-screen actions.
- Recording stops automatically after 2 minutes.
- After recording is completed, DAP will process the video automatically.
- Once processing is complete, a preview of the recording will be displayed.
- Enter the Video Name and Video Intention.
- Click Edit to edit voice-overs and tooltips.
- Click Save.
Verify and Publish
- Navigate to Interactive Video under Web Studio in the left panel.
- Click Verify to test the video.
- Click Open to edit the video.
- After successful verification, click Go Live to make the interactive video live for sharing.
Only live contents can be used for Web Banners or added to a Help Hub in Zoho Projects.
Create Guides
Guides capture on-screen actions in Zoho Projects and convert them into step-by-step instructions with screenshots. Share the guide to help users onboard effectively and work more efficiently each day.
- Navigate to Guide under Web Studio in the left panel.
- Click Create New Guide.
- In the prompt, click Redirect to open the Zoho Projects page.
- In the capture dialog, click Start Capturing to start recording steps.
- Perform the actions to document in Zoho Projects.
- During capture, DAP automatically:
- Records each action
- Captures screenshots
- Adds them as steps in the right-side preview panel.
- Users can pause capturing at any time, if required.
- Click Finish Capturing after completing all steps.
- This stops the capture and returns to DAP.
- Review the captured steps in the summary screen.
- Click Edit to modify slides, if needed.
- Click Save.
- Enter the Guide Name, Guide Intention, and click Save again.
Verify and Publish
- Navigate to Guide under Web Studio in the left panel.
- Click Verify on the drafted guide.
- Click Proceed to open the mapped Zoho Projects page.
- Review the guide in context to ensure all steps and screenshots are correct.
- Click Verify to complete verification.
- Click Go Live to make the guide live for sharing.
Only live contents can be used for Web Banners or added to a Help Hub in Zoho Projects.
Content Distribution
Create Web Banners
Banners are used to display announcements, highlight key actions, or direct users to relevant DAP content such as walkthroughs, interactive videos, guides, or external URLs.
- Navigate to Banner under Web Studio in the left panel.
- Click Create Web Banner.
- Add elements to the banner or select a design from the available templates.
- Use the left configuration panel to define the banner appearance:
- In the banner canvas, add text or button elements as required.
- Select the button element (for example, START) to open the editor.
- From the Action dropdown, select one of the following:
- Walkthrough
- Interactive Video
- Guide
- Web URL
- Select the corresponding content to be launched.
- Click Save.
- Enter the Banner Name, Banner Intention and click Save again.
Verify and Publish
- Click Verify to test the banner in context.
- Click Open to review or edit the banner, if required.
- After successful verification, click Go Live for making the banner live.
Once it is live, the banner is displayed on the configured Zoho Projects page with the button. Users can click on the button to access the associated content directly.
Create Help Hub
Help Hub allows users to group multiple DAP contents and make them accessible from a single entry point inside Zoho Projects.
- Navigate to Help Hub under Web Studio in the left panel.
- Click Create Help Hub and enter the Help Hub Name.
- Enter or paste the Page URL where the Help Hub should appear.
- Click + Add Content.
- Enter the Display Name.
- Choose the Content Type and select the required content.
- Click + Add Content to include additional items.
- Click Save.
- Enter Help Hub Name, Help Hub Intention and Click Save.
Verify and Publish
- Click Verify to test the Help Hub in context.
- Click Open to review or edit the Help Hub.
- After successful verification, click Go Live to make the Help Hub live.
Publish Web Banner or Help Hub
- Navigate to Publish Content in the left panel.
- Choose Web Banner or Help Hub tab.
- Enter Promotion Name and choose the relevant content to be published.
- Choose:
- Start now or Schedule
- Target audience (All users or specific users)
- Expiry settings
- Click Publish.
Once published, the Help Hub or Banner is available on the configured Zoho Projects page, allowing users to access the configured content directly from there.
Manage Live Content
To pause the content from live Zoho Projects page,
- Navigate to Help Hub or Web Banner.
- Click Live Content tab > "more icon" > Pause Live.
- To relaunch the content, click Resume.
