Task List View

The Task List view in Zoho Projects provides an easy-to-use interface for viewing, adding, editing, and managing tasks directly within the view.

Global Task List View

Access Task List View

  1. Click Tasks from left navigation panel.
  2. Click the Group by drop-down to view tasks by project, task list, or none.
  3. Click List from the View drop-down.

Project Task List View

Access Task List View

  1. Navigate to a project from the Recent Projects section, or select a project from the Projects tab.
  2. Click Tasks in the top navigation panel.
  3. Select List from the view drop-down.

Add Task Inline

  1. Click Add Task in the cell, enter Task Title and, click Enter/return on your keyboard.
  2. Click on the task to open task details page to edit details.
Notes
In Task List, choose a task list from the Internal option if you want to display the task only to your portal users. However, if you want to collaborate and display the task with client users, you must associate a task list from the External option.

Users can set the default billing type for tasks by adding the Billing Type field in the task layout and fields. Billing type can be, None, Billable or Non-Billable. If the user selects None, then the default billing status of the project will apply.

To set duration for a task instead of end date, click Enter Duration and enter the number of days in Duration.

If the start date of the recurring task occurs on a holiday or a weekend, the previous working day is automatically set as the start date. This option is enabled only if the recurring frequency of the task is set to Monthly or Yearly.

Edit Task Inline

Click on any field corresponding to the task to add or update the task information. 
Notes
Task duration cannot exceed 10 years.

Add Task List

Add Task List to group the tasks.

Manage Task List

Click  in the top-left to collapse the task list, or to expand the task list.

Move Task

  1. Check the box corresponding to the task to select the task.
  2. Click Move to move the task to a task list or to any project.
  3. To move the task to a task list, select the task list from the Select Task List drop-down and click Move.
  4. To move the task to a project, click Move to Project next to Move to Task List, select the project and task list, and click Move.
  5. Alternatively, click to the left of the task and click Move or click on a task to open the Details page, hover over a task, then click  > Move.

Clone Task

  1. Hover over any task, then click > Clone.
  2. Update the number of instances, then click Clone

Group By Custom or Default Fields

Customisable List view helps users focus on specific information for any desired column. Using Group By task view, users can view Tasks in the Default view (Phases, Task List & None) or create custom groups from the Default or Custom fields section. They can add a maximum of two groups. To create custom groups:
  1. Go to the Tasks Tab of a project.
  2. Click Group By drop-down.
  3. Scroll down for Default Fields.
  4. Select the group/s.
  5. Sort the label of the group as per preference. 

Sort Tasks

Users can sort custom group labels while creating them from the Group By drop down. They can sort the group items directly from a field's header or from the Sort button on the top right next to Automation. Group label is the header/ name of a group. Group item is a unit which is contained in the label.
Hover over a header, click  and select sorting preference. The tasks view will be customised as per the selection. To undo the sorting, select Unsort

Reorder Task

You can drag and drop the tasks to change their order when Grouped by Milestones or Task List (Classic). The new order is saved automatically.
  1. Hover over a task to view the reorder icon ().
  2. Click and hold on the icon and drag and drop your task to reorder it.

Add Subtask

  1. Create Subtasks to break your existing task into subtasks.

Bulk Update

  1. Check the box to the left of any tasks to select, then:
    1. Click Associate Issues to add issues to the task, enter the issue title in the Select Issues search box, and click on the specific Issue you want to associate with the task. Click Associate Issues.
    2. Click Associate Team to add a team to the task.
    3. Click Owner and
      1. Click Replace Task Owner(s), select a new owner from the search box, and click Submit to replace the existing Task owner.
      2. Click Add Owners, choose an owner from the Add Owners search box, and click Submit to add a new owner to the task.
      3. Click Switch Task Owner, select a user to replace the current owner, and click Submit for the change.
      4. Click Unassign Task, then click Submit to remove the current task owner.
      5. Click Unassign Selected Owners, choose users from the search box, and click Submit to unassign selected users from the tasks.
    4. Click Status, Tags, Start Date, Due Date, Priority, and Billing Type to add or change them, respectively.
    5. Click Delete to delete the tasks.
 

Manage Tasks

  1. Edit Task to keep the task information up to date.
  2. Use the Group By drop-down to group tasks by Milestone, Task Lists, or None.
  3. Use predefined task views to view tasks based on categories.
  4. Use My views to access tasks that are related to you.
  5. Hover over the Task View drop-down and click to edit. You can also Customize Columns to be Displayed.
  6. Click Create Custom View at the bottom of the task view drop-down. Set the criteria, enter a Name and Description, and move columns from the Available section to the Selected section by clicking them. Check the Share custom view box if you wish to share this custom view with other users. Select Custom View Accessibility, then click Save.
  7. Click to add a new available column or to Create Custom Field and add it to the layout.
  8. Reorder the column by hovering over the field header and dragging it to the left or right.
  9. Right-click on the field header to Apply Filter, Insert Column Before, Insert Column After, or to Hide Column.
  10. Hover over a task list to view the reorder icon (). Click and hold on the icon, and drag and drop your task to reorder it.
  11. Click in the top-right corner of the Task List View, then:
    1. Click Import Tasks, then select the file format. You can either drop or upload the attachment, then click Import.
    2. Click Export Tasks, then select the task view and format you want to download. If you wish to include specific fields in the file, drag and drop them from the Available fields to Selected fields. Click Export.
    3. Click Disassociate Blueprint, then click Disassociate to disassociate the Blueprint from all the tasks in the project.

Manage List View

  1. Click   to collapse and expand the subtasks.

Trash Tasks 

  1. Click Tasks in the left navigation panel or Click Projects > Tasks in the top band to open tasks.
  2. Select List from the view selection drop-down.
  3. Select the tasks you wish to trash and click Trash.
  4. Confirm your action.
Trashed tasks will be moved to the Recycle Bin and can be restored within 30 days.
