Using AI for Email Productivity in Trident (macOS)

In this article, we'll see how leading AI solutions such as OpenAI, Anthropic, Cohere, and Google AI Studio can be integrated with Trident using the Bring Your Own Key (BYOK) model to summarize emails, generate email replies, and rephrase email content. To integrate Trident with leading AI solutions, organization admins need to configure Bring Your Own Key (BYOK) in the Zoho Mail web app

Summarizing Emails With AI

To summarize the contents of an email using AI:

  1. Open the email you want to summarize in the detail view.
  2. In the email header, click Summarize. A pop-up will appear showing the email summary generated by the currently selected AI solution.
  3. To use a different AI solution, click the down arrow  next to the AI solution name. This will display a list of all configured AI solutions.
  4. Select the AI solution you prefer. The email summary will automatically update based on your selection.

Notes: 

  1. In a threaded conversation that consists of multiple emails, you can only summarize the contents of one email at a time. Support for generating a combined summary of the entire thread will be available in the future. 
  2. Click the Copy  icon to copy the email summary. 
  3. Click the Share in Streams  icon to share the summary with a contact or a group. 
  4. To add the email summary to tasks and notes, use the Add to Tasks  and Add to Notes  icons, respectively. 

Responding to Emails With AI

To reply to emails using AI:

  1. Click the Reply to or the Reply All icon. 
  2. In the rich text editor, click the AI  icon to open the Content Assistant.
  3. Pick the desired AI solution.
  4. Type your email reply prompt in the Content Assistant.
  5. Hit return or click the Go  icon.
  6. Click Insert to use the AI-generated reply in the Mail Composer.
  7. Make any necessary tweaks, then click Send when you're satisfied.

  • Click the Copy  icon to copy the AI-generated content. 
  • Click the Volume  icon to read the AI-generated text aloud. 
  • Click the Close  icon to discard the AI-generated content. 
  • Click the Stop  icon to stop generating content. 

While generating email replies using AI, you can edit the prompt you've entered, regenerate the reply, and change the tone and length of the reply. 

Editing Prompt

To edit the prompt and generate the response:

  1. Click Edit Prompt
  2. Update the prompt in the textbox. 
  3. Click the Go  icon to generate the response.

Note: Click the Back  icon to revert all changes. 

Regenerating Response

If you're not satisfied with the AI-generated response, you can regenerate it. To do so:

  1. Click Regenerate
  2. The new response will be updated in the Content Assistant. 

Changing Tone

To change the tone of the generated AI response:

  1. Click Change Tone.
  2. Choose between Formal, Informal, Friendly, or Persuasive. The response will be regenerated accordingly in the Content Assistant.

Changing Length

To change the length of the generated AI response:

  1. Click Change Length
  2. Choose between Short and Long, and the response will be regenerated accordingly in the Content Assistant.

Rephrasing Email Content

To rephrase email content while composing new emails or responding to emails:

  1. Highlight the text which you'd like to rephrase.
  2. In the pop-up, choose between Elaborate, Shorten, or Regenerate.  
  3. The rephrased email content will appear in the Content Assistant. For further edits, you can pick the desired AI solution, edit your prompt, regenerate the content, and change the tone and length of the text, as described in this section
  4. Once you're ready, click Insert.
