Viewing, Responding to, and Sharing Emails in Trident (Windows)

In this article, we'll see how you can view and respond to emails you've received as well as share drafts and emails with your teammates.

Viewing Emails 

You can view the emails you've received in the email detail view at the left with a vertical split, at the bottom with a horizontal split, or without a split, depending on how you've customized it.

Viewing Emails in Reader View

You can get an immersive email reading experience using the Reader View option. This will hide all email management options and present you with only the email content.

To access this view from the email detail view:

  1. Open the email.

  1. Click the More Options  icon at the top-right corner of the email detail view.

  1. Select Open in Reader View from the menu list.



The Reader View also offers options to improve your reading experience. You can perform the following actions in this view:

  • Font options: Choose the preferred font type, text size, and text spacing.

  • Light or Dark modes: Switch between Light and Dark modes.

  • Find: Find what you are looking for in the email content.



Viewing Emails in a New Window

To view your emails in a new window, double-click the email or:

  1. Right-click the email.

  1. Select Open in New Window from the menu list.



To view your emails in a new window from the email detail view:

  1. Click the email.

  1. Click the More Options  icon at the top-right corner of the email detail view.

  1. Select Open in New Window from the menu list.



Note: You can also use the shortcut Ctrl + O to open the selected email in a new window.

Viewing Emails From a Specific Sender

To view all of the email conversations from a specific sender:

  1. Right-click the email that you've received.

  1. Select List Emails From This Contact from the menu list.



Switching Between Email Views

You can view emails in your mailbox using different filters. The available views are:

All Messages

Displays all emails in your mailbox.

Unread

Displays only emails that you have not read yet.

Flagged

Displays emails that you have marked with a flag for follow up.

All Archived

Displays emails that you have archived.

To switch the email view:

  1. Scroll to the bottom of the left pane in the Mail module.

  2. Under Views, choose between Unread, All Emails, Flagged Emails, Archived Emails, and Offline Emails.




NotesNote: These views can also be applied to emails within a specific folder. In the mail list, click the filter icon in the top-right corner and choose from Unread, Attachments, Archived, Flagged, or Tagged emails.

Viewing SecurePass Emails  

To view a secured email:

  1. Click open the email.

  1. Click View the email in the email detail view.

  1. In the dialog box that appears, click Send SecurePass code.

  1. Enter the OTP sent to your email address.

  1. Check the Remember me check-box to keep the link accessible for 5 minutes even after refreshing the page.

  2. Click Verify.





Notes:
  • SecurePass emails will be denoted with a lock icon beside the email.

  • If you refresh the secured email after 5 minutes, a new passcode must be generated to access the email.

Viewing Original Email Content 

The Show Original option lets you view the full technical details of an email, including the sender’s authentication information and message headers. This helps to:

  • Verify whether an email is genuine or spam.

  • Check the original formatting or encoding of the message.

  • Share full message details with your email administrator for troubleshooting.

To view the original email content:

  1. Open the email whose raw details you want to view.

  2. Click the More Options icon in the email detail view.

  3. Select Show Original from the menu list. 



NotesNote: In the Show Original window, you can choose to download the full content, copy it to the clipboard, or view the entire email or just the headers.

Printing Emails       

To print emails:

  1. Open the email you want to print.

  1. Click the More Options  icon at the top-right corner of the email detail view.

  1. Select Print Email from the menu list.

  1. In the dialog that appears, configure the print settings.

  1. Once ready, click Print.   


Downloading Attachments With Password 

To download attachments with password:

  1. Click the More  icon next to the attachment.

  1. Select Zip and Download File with Password.

  1. In the pop up that appears, enter the password and confirm it.

  1. Click Download.



To download multiple attachments with a password:

  1. Click the More  icon on top of the attachment.

  1. Select Zip and Download File with Password.

  1. In the pop up that appears, enter the password and confirm it.

  1. Click Download.



Notes
  1. The attachment downloaded can be viewed by entering the created password and clicking OK.
  2. The downloaded file will be available in your system downloads.

Responding to Emails

You can respond to emails using the following methods:


Reply

The reply will be sent to the sender of the initial email.

Reply All

The reply will be sent to all recipients of the initial email.

Forward

The initial email can be re-sent to any recipient of your choice.

You can access these options from three places in the Mail module.

The upper-right section of the email in the email detail view.

The Quick Reply box located below the email.

The menu list that appears on right-clicking the email,


You can also switch between Reply, Reply All, or Forward while responding to an email. To do so:
  1. When responding to an email, in the Mail Composer, click the response icon located just below the From address.

  2. From the drop-down menu, select your desired response type: Reply, Reply All, or Forward.


Sending  Quick Replies    

You can choose from a variety of pre-written email responses to respond to emails quickly. To do so:

  1. Open the email you would like to respond to.

  2. Click Reply to <sender name> to respond to the sender, or click Reply All to respond to all recipients. You can also access these options from the down arrow next to the Reply icon. Then, type your response.

Or

  1. Click the Quick Reply icon in the bottom-right corner to view a list of reply options.
  2. Choose a reply from the list that appears.



NotesNote: The email will be sent immediately after choosing a response from the list of options. No alert will be shown.

Forwarding Emails   

To forward an email from the email list:

  1. Right-click the email.

  1. Select Forward from the menu list.

  1. Enter the recipient's address.

  1. Click Send.



To forward an email from the email detail view:
  1. Open the email you want to forward.

  1. Click the Forward  icon at the top-right corner of the email detail view.



Forwarding Emails as Attachments


  To forward an email or an email thread as an attachment from the list view:

  1. Right-click the email.

  2. Select Forward as Attachment.

The email will be converted to an .eml file type and added as an attachment to the Mail Composer, from where you can draft your message and send it.
InfoTip: You can also drag emails from the list view and drop them in the Mail Composer to attach them as .eml files.


To forward multiple emails as attachments, multi-select emails from the list by clicking the sender's image and selecting Forward as Attachment from the More  icon in the detail view. 

NotesNote: While forwarding multiple emails as attachments, you can select up to 100 emails, or ten emails with threaded conversations, or both. However, the cumulative size of the emails added as attachments must not exceed 40 MB (this is subject to change depending on your pricing plan).

Editing Emails as New      

You can make changes to an email you've received or that has already been sent, by using the Edit as New option. Clicking on this option will open the email in the Mail Composer window, allowing you to make necessary changes to the email content.

To edit an email as new:

  1. Open the email that you would like to edit.

  1. Click the More Options   icon and select Edit as New from the menu list.

  1. Once the required changes have been made, click Send.



Sharing Emails 

By sharing emails, you can easily handle email-related discussions and receive input from co-workers in the form of comments, avoiding multiple forwards and replies.

To share an email:

  1. Click the Share in Streams icon in the top-right corner or at the bottom of the email detail view.

  1. Check the Include Others in This Conversation checkbox if you wish to include the members marked in the original email.

  1. Type your comment and add attachment if required.

  1. Click the Add or View Invitees  icon.

  1. Search for the contacts and select them from the list of suggestions.

  1. Click Invite.

  1. Click the Send  icon.



Notes:

  • You can also @mention an individual or group in comments and click the Share  icon to share the email.

  • You can also attach files in the comments.


Sharing Email Drafts

By sharing drafts, you can review your email content with your co-workers, get their feedback, and make modifications to your email before sending it out.

To share a draft from the Mail Composer:

  1. Draft an email in the Mail Composer and click the Share  icon.

  2. Mention the contact you want to share the draft with.

  3. Click the Attachment icon to attach files if necessary.

  4. Once ready, click Send.



Notes:
  1. Once the draft is shared, the invitees will recive a notification.
  2. You can continue making changes to the draft, and all the changes will be reflected automatically to the users you have shared the draft with.

To share a draft from the Drafts folder:

  1. Go to the Drafts folder.

  2. Click Edit.

  3. Click the Share This Email icon.

  4. Mention the contact you want to share the draft with.

  5. Click the Attachment icon to attach files if necessary.

  6. Once ready, click Send.
