Is your My Folders storage running low?
WorkDrive offers multiple ways to free up space and keep your files organized. Follow these steps to clean up unwanted content and optimize storage usage.
This guide will walk you through practical steps to:

Clean Up Files Manually
- Delete Unwanted or Duplicate Files: Review your My Folders and remove files you no longer need. These could be outdated documents, duplicate copies, or unused media files. Trashing them will immediately free up some space.
- Empty the Trash: When you move a file or folder to the Trash, it is not deleted permanently. Trashed files continue to occupy storage space until you remove them completely.
- To free up this space:
- Open a Team Folder or My Folder and click Manage.
- From the dropdown menu, select Trash to view all trashed files and folders.

- Select the files or folders you no longer need and click Delete.
- Confirm the action in the confirmation dialog box.
- To clear all items at once, click Empty Trash in the top-right corner.

Manage Large Files in My Folders
Large files such as videos, design assets, high-resolution images, or heavy presentations can quickly consume your WorkDrive storage. By reviewing and managing them regularly, you can free up valuable space without losing important content.
Why Manage Large Files?
Every time you make changes to a file, WorkDrive automatically saves a new version of it. While this is useful for tracking changes and restoring older versions, these accumulated versions can significantly increase your storage usage over time.
For example, design files often have multiple revisions. Each saved version adds to the total file size in your My Folders, and over time, this can take up substantial storage space. By managing these file versions, you can retain only the most relevant ones, such as the latest 3, 5, or 10 versions, and bulk delete the rest.
How to access and review large files:
- Go to My Folders.
- Click Manage > Large Files.

This will display a centralized list of all large files in your My Folders, making it easier to track and manage high-storage content.

When you select a file, you’ll get options to take action:

Trash the File
If the file is no longer needed, you can move it to the Trash.
Keep in mind: Files in Trash still occupy space until they’re deleted from the Trash folder.
To free up the space completely, go to the Trash Folder in My Folders and delete the files and folders you no longer need.
Manage File Versions
If the file is still needed, but older versions aren’t, use the Manage Versions option.
This allows you to:
- View the version history of the file
- Delete outdated versions in single or in bulk.
Tip: Consider removing file versions if the storage of the file is more than the actual file size.
Request Additional Storage
If you have cleaned up your files and optimized settings but still need more space, you have the following options:
Ask Your Team Admin to Increase Your My Folders Custom Storage Limit
If your team admin has set a custom My Folders storage limit, request them to increase it so you can continue working without losing any data.
Ask Your Team Admin to Expand the Team’s Storage Subscription
If the entire team is running low on storage, your team admin can:
