Overview
Zoho Writer allows you to publish documents both within your organization and on the web. Once published, your document is accessible through a shareable link, can be embedded on websites or blogs, or even published on your company’s custom domain. You can also customize how published documents behave using advanced settings such as automatic republishing, link sharing, embed codes, and domain-level publishing.
Prerequisites
- You must have access to the document you want to publish.
- For publishing on a custom domain, your organization must have WorkDrive’s custom domain feature enabled.
- If your document has Track Changes enabled, you must accept or reject all changes before publishing. Published documents always display the original mode.
Steps
How to publish a document
- Open your document in Zoho Writer.
- Go to the Distribute mode (top-right corner) and choose Publish from the menu.
- Alternatively, go to File > Publish.
- In the Publish Settings pop-up, choose one of the following:
- Within your Organization – The document will be viewable only by users in your organization.
- Public on the Web – Anyone with the link can access the document.
- Enable the Automatic Republishing option to ensure every edit you make is instantly reflected in the published version.
Click Publish.
How to use advanced publish settings
After publishing, click Publish Settings to fine-tune your document’s behavior and visibility.

- Show an estimated time needed to read the document.
- Social media sharing to allow sharing directly to platforms like LinkedIn, Twitter, and Facebook.
- Show document navigation by default for easier browsing.
How to modify publish settings or unpublish a published document
You can unpublish the document to revoke access at anytime.
- Open the document.
- Click Distribute > Publish Settings.
Adjust your preferences or select Unpublish.
How to publish documents on your company’s domain
Instead of publishing on the default zohopublic.com, you can publish documents under your company’s domain.
- Ensure your organization has set up a custom domain in WorkDrive.
- Once configured, all published Writer documents can be shared from your domain.

How to place my organization’s logo in the pages I publish from Writer
To display your organization’s logo on published pages from Writer, follow these steps:
- Log in to your WorkDrive account using your Admin credentials.
- Click the More icon near the existing logo and select Admin Console. This will open the Admin Console page.
- In the Admin Console, navigate to Settings > Branding > Team logo.
- Upload or update your organization’s logo.
Once updated, the new logo will automatically appear on all your published pages.
How to embed a published document
Embed the iframe code of your published document into platforms such as Zoho Sites, Joomla or more.
- Open the document in Zoho Writer.
- Go to Distribute > Publish > Public on the Web and click Publish.
- In the Publish Settings pop-up, switch to the Embed code tab and copy the generated iframe embed code.
Paste this code into your website, blog, or CMS editor where you want the document to appear.
Note:
Once embedded, any changes you make to the document in Zoho Writer will automatically reflect in the published version if you enabled Automatic Republishing.
How to resize an embedded document
When embedding a Writer document, you may want to adjust how it appears on your site.
- Copy the embed iframe code from the Publish Settings dialog.
- In the embed code, manually change the width and height attributes to your desired size. For example: <iframe src="https://..."></iframe> can be changed to: <iframe src="https://..." width="800" height="600"></iframe>
Troubleshooting
Error/Symptom: Published page or document not loading
Possible cause: Browser may be blocking third-party cookies.
Recommended solution: Enable third-party cookies in your browser settings and try again.

- Can I prevent search engines from indexing my published document?
Yes. Go to Publish Settings > Advanced Settings and disable Search Engine Indexing.
- Why isn’t my custom domain working for published documents?
Your WorkDrive custom domain setup may be incomplete. Verify that all steps in the custom domain setup are finished to ensure your domain works correctly.
- Why is my embedded document not showing on my website?
This can happen if the full iframe code wasn’t copied or your website doesn’t support iframes. Make sure you copy the entire embed code and confirm that your website allows iframes.
- Why aren’t updates appearing in my published document?
If Automatic Republishing is disabled, changes won’t reflect. Enable Automatic Republishing in the Publish Settings to ensure updates appear automatically.
- Why isn’t my document appearing in search engines?
Check that search engine indexing is enabled. Go to Preferences and ensure “Enable search engine indexing” is selected so your document can be indexed.
