How to Enable Track Changes and Review Edits in Zoho Writer?

Overview

With Track Changes in Zoho Writer, you can visually track all insertions, deletions, and formatting edits made by collaborators. Review and finalize your document using modes like All Markup, No Markup, and Original, then accept or reject changes selectively.

Steps

With Track Changes in Zoho Writer, document owners can record all edits—insertions, deletions, and formatting—made by collaborators. Owners can later accept or reject these edits from the Review tab. Collaborators with read-write or read-comment access can also enable Track Changes

How To Enable track changes

  1. Click the Review button and switch to review mode in your document. Alternatively, click on the track changes button at the bottom right if your editor to instantly enable the track changes mode.
  2. Turn ON the switch next to Track Changes. Now any edits made by the collaborator can be tracked and viewed in the review pane.

How to Change Markup Mode

Zoho Writer offers three markup views to preview your document with or without edits. Use the All Markup dropdown (next to Track Changes) to view all edits, see the document without changes in No Markup, or restore the Original version before edits.

  1. All Markup - To view the document with the edits highlighted.
  2. No Markup - To see how the final document will look like if the edits were accepted. The edits/tracked-changes are only temporarily hidden and will be shown next time the document is opened.
  3. All Markup.Original - To view a document with all the changes hidden.

Note :  When Track Changes is switched on in Zoho Writer, inserted text appears underlined in a unique color, while deleted text is shown with a strikethrough. Each collaborator’s edits are highlighted in different colors, making it easy to review and manage changes


How to Accept / Reject changes

Track Changes highlights all edits in the document. You can make them permanent by accepting or rejecting changes individually or in bulk, and remove all markups with a single click.

To accept/reject changes individually,

  1. Open the document and go to Review mode.
  2. Click on the text where the edits are made.
  3. Click the Accept/Reject button from the pop-up.

To accept/reject all the changes,

  1. Open the document and go to Review mode.
  2. Click the More icon on the right panel in the Review mode.
  3. Choose the Accept all changes/Reject all changes based on your requirements. This will remove all markups and changes are made permanent.

Customize track changes color

When working on a document with your team, frequent additions and deletions can make it hard to track who changed what. To simplify this, Writer lets each collaborator highlight their edits in a preferred color

To pick a color,

  1. Navigate to Review
  2. Turn on track changes and make sure 'All Markup' is enabled.
  3. Click in the collaboration ribbon to choose a color of your choice.
  1. Check this box to make it your default color for all the documents.

Additional Notes

  • Markup mode is designed to give you an overview of the document. To permanently remove tracked changes, you must Accept or Reject them. Once the changes are finalized and the document is published within your organization or on the web, it will only appear in its final form—without markup views.
