Tags enable you to label your work items for easy identification purpose. The tag can be color coded and assigned distinct terms to group work items under those labels. They are the quickest and easiest way to group a similar set of work items based on a specific category. Zoho Sprints comes with a custom option that allows you create your own tags define a particular set of work items in your backlog or sprint.
Example
Let's assume your team works on three different processes simultaneously and has work items scattered randomly. You can build a classification system using tags. Let's say the three different processes are integrations, product road map, and new enhancements. You can create individual tags for these three and associate the work items to the relevant tags.
Benefits
- Quickly identify the items that are in a particular category.
- Filter items based on their tags to view select items belonging to it.
- Customize your backlog view to organize the work items based on the tags.
Accessibility
- Admins can add, edit, delete, and associate tags for all the work items across projects.
- Users with the appropriate profile permission can edit and delete tags created by them.
- If the work item is unassigned, the tag owners can edit and delete tags. Other users can add and associate tags to the unassigned work items.
Create tag
Tags are available in the project and sprint backlog, epic, board, and release modules.
To create a new tag:
- Navigate to one of the relevant modules.
- Click the tag icon at the bottom of the work item name. A pop-up will appear.
- Click the + icon.
- Enter the tag name and pick a color.
- Click Add.
Alternatively, you create new tags from the item details page as well.
- A tag name can be only up to 100 characters.
- Tags applicable on a workspace level.
- You can add up to 10K tags in your workspace.
Add existing tag
To add an existing tag:
- Navigate to one of the relevant modules.
- Click the tag icon at the bottom of the work item name. A pop-up will appear with view filter.
- View by used or unused tags.
Note: Tags are not restricted to specific projects. You can view all the tags created across projects while associating a tag for particular work item.
- Select the required tag. (Search using tag name to find a particular tag.)
- Click the Update button. The tag is added to the item.
Click the + icon in the work item, if there are tags already added to it.
Alternatively, you can add tags from the item details page as well.
Remove tag
To remove tag from an item:
- Click the (+) icon next to the tag. The add tag pop-up will appear.
- Select View as Used tags.
- Click the tick icon within the tag name.
- Click the Update button.
Alternatively, you can remove the tag from the item details page as well.
Edit tag
To edit a tag:
- Navigate to one of the relevant modules.
- Click the tag icon at the bottom of the work item name. A pop-up will appear with view filter.
- Hover over the required tag name. The edit icon will appear.
- Click the Edit icon.
- Make changes.
- Click the Update button.
Delete tag
To delete a tag:
- Navigate to one of the relevant modules.
- Click the tag icon at the bottom of the work item name. A pop-up will appear with view filter.
- Hover over the required tag name. The delete icon will appear.
- Click the Delete icon. A confirmation pop-up will appear.
- Click the Delete button. The tag will be removed from all the associated items.
Advanced filter
The advanced filter in Zoho Sprints enables you to use quick and custom filters to obtain a filtered view of work items. The quick filter have predefined filter criteria for you to select from. Tags are one of the criteria categories. You can filter work items based on the tags.
