Project Dashboard

Custom Dashboard in a project shows important progress indicators, graphs, statistics, and other key performance indicators to quickly understand where the project stands. Users can create customizable dashboards to track and visualize individual project metrics. URLs can be embedded in the dashboard to access relevant data outside the Zoho Projects portal.

Manage Dashboard

Create Custom Dashboard 

  1. Navigate to the Projects Tab in the left navigation panel. 
  2. Go to your project and click Dashboard in the top band.
  3. Click the dashboard drop-down.
  4. Click Create Custom Dashboard.
  5. Enter the Dashboard Title, select the Dashboard Type, and select user access level from the drop-down.
  6. Click Save.

Edit Dashboard Theme 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select a dashboard from the drop-down.
  4. Click  in the upper-right corner of the page.
  5. Select Background Themes from the context menu.
  6. Click on any preferred theme.

Clone Dashboard 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select any dashboard from the drop-down.
  4. Click  in the upper-right corner of the page.
  5. Select Clone from the context menu.
  6. Confirm your action.

Export Dashboard 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select any dashboard from the drop-down.
  4. Click  in the upper-right corner of the page.
  5. Select Export to PDF from the context menu.
  6. Confirm your action.

Share Dashboard 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select any dashboard from the drop-down.
  4. Click  in the upper-right corner of the page.
  5. Select Share from the context menu.
  6. Select one or more users and set access level from the drop-down.
    1. Full Access: Users can view, create, manage and share the dashboard.
    2. Editor: Users can view and modify dashboard widgets but cannot delete or share the dashboard.
    3. Viewer: Users can only view the dashboard.
  7. Click Save.

Delete Dashboard 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select any dashboard from the drop-down.
  4. Click  in the upper-right corner of the page.
  5. Select Delete from the context menu.
  6. Confirm your action.

Manage Widgets

The widgets showcase the status of the team in the best possible way. You can reposition widgets, change the chart type, and access data quickly in the dashboard. You need permission to view the respective module to view the widgets on the dashboard.

Create a Widget 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select a preferred dashboard from the drop-down.
  4. Click Add Widget in the upper-right corner of the page.
  5. Select a widget type
    1. Chart - Report-like widgets to visually represent project trends.
    2. Numbers(KPI) - A compact widget to display a single metric at a glance.  
    3. Embed URL - A widget that displays external web content directly within the dashboard using a URL link.
  6. Click Create Widget.
  7. Enter the widget name.
  8. Configure the Report Settings, Plot Options and Criteria.
  9. Click Apply.


Note: If your portal is integrated with Zoho Analytics, the reports and dashboards from the Zoho Analytics workspace can be added as widgets. 

Add Widget from Gallery

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select a preferred dashboard from the drop-down.
  4. Click Add Widget in the upper-right corner of the page.
  5. Select a widget type
    1. Chart - Report-like widgets to visually represent project trends.
    2. Numbers(KPI) - A compact widget to display a single metric at a glance.  
    3. Embed URL - A widget that displays external web content directly within the dashboard using a URL link.
  6. Hover over a preferred widget and click Use this. 


Edit Widget 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select a preferred dashboard from the drop-down.
  4. Hover over a widget and click 
  5. Select Edit and update the necessary fields.
  6. Click Apply.
  7. Click  to filter widget based on criteria.
  8. Click   to view the widget in full screen.
  9. Click and drag the edges of the widget to resize it.

Clone Widget 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select a preferred dashboard from the drop-down.
  4. Hover over a widget and click 
  5. Select Clone and confirm your action.


Delete Widget 

  1. Navigate to the Projects page in the left navigation panel.
  2. Go to your project and click Dashboard in the top band.
  3. Select a preferred dashboard from the drop-down.
  4. Hover over a widget and click 
  5. Select Delete and confirm your action.

Progress Of Work Items

The widgets - Task Status, Issue Status, and Phase Status show how many work items are closed and how many are open.

Performance Indicators

The widgets - Team Status, Top 5  Go-getters, and Top 5 Issue fixers  display data that measure the team's performance.

  • Team Status - It displays the count of the overdue and open work items for every user in the team. It also displays the number of tasks or bugs to be addressed by the user on the current day.
  • Top 5 Go-getters  - The users with the maximum number of closed tasks are listed in this widget.
  • Top 5 Issue fixers - The users with the maximum number of closed issues are listed in this widget.


Reports and Summary Charts

The widgets - Task Progress Chart, Weekly Digest, Timesheet Summary, and Budget Status display the work status in the form of reports and graphs.

  • Task Progress Chart  - Get the task count against a specific completion percentage from the graph. Hover over any shaded part in the graph to get the exact task count against a completion percentage.
  • Weekly Digest - Get the status of the tasks, task lists, phasephasephases, and bugs in the current week from this widget. Select a week from the drop-down to view its status. You can also select a different view from the lot in the upper right part of the widget.
  • Budget Status - Track the budget and ensure whether the team is on track. You can also measure the team's productivity with the help of the Planned vs Actual section.
  • Timesheet Summary - Track the billable and non-billable hours that are logged by the team.

Pipeline Work Item Indicators

The widgets - Today's Work Items, Overdue Work Items, and Upcoming Events display the work that is yet to be completed.

  • Today's Work Items - Get the list of the work items that are scheduled for the current day.
  • Overdue Work Items - Get the list of the work items that are incomplete and have gone past the due date.
  • Upcoming Events - View the events that are scheduled for the current week.
