Portal Home

The dashboard in Zoho Projects displays organisational-level and project-level insights as widgets. Users can create customizable dashboards to track and visualize individual project metrics. URLs can be embedded in the dashboard to access relevant data outside the Zoho Projects portal.

Benefits

Manage Dashboard

Create Custom Dashboard 

  1. Navigate to the Home page in the left navigation panel.
  2. Click the dashboard drop-down.
  3. Click Create Custom Dashboard.
  4. Enter the Dashboard Title, select the Dashboard Type, and select user access level from the drop-down.
  5. Click Save.


Edit Dashboard Theme 

  1. Navigate to the Home page in the left navigation panel.
  2. Select a dashboard from the drop-down.
  3. Click  in the upper-right corner of the page.
  4. Select Background Themes from the context menu.
  5. Click on any preferred theme.


Clone Dashboard 

  1. Navigate to the Home page in the left navigation panel.
  2. Select any dashboard from the drop-down.
  3. Click  in the upper-right corner of the page.
  4. Select Clone from the context menu.
  5. Confirm your action.

Export Dashboard 

  1. Navigate to the Home page in the left navigation panel.
  2. Select any dashboard from the drop-down.
  3. Click  in the upper-right corner of the page.
  4. Select Export to PDF from the context menu.
  5. Confirm your action.

Share Dashboard 

  1. Navigate to the Home page in the left navigation panel.
  2. Select any dashboard from the drop-down.
  3. Click  in the upper-right corner of the page.
  4. Select Share from the context menu.
  5. Select one or more users and set access level from the drop-down.
    1. Full Access: Users can view, create, manage and share the dashboard.
    2. Editor: Users can view and modify dashboard widgets but cannot delete or share the dashboard.
    3. Viewer: Users can only view the dashboard.
  6. Click Save.

Delete Dashboard 

  1. Navigate to the Home page in the left navigation panel.
  2. Select any dashboard from the drop-down.
  3. Click  in the upper-right corner of the page.
  4. Select Delete from the context menu.
  5. Confirm your action.

Manage Widgets

Create a Widget 

  1. Navigate to the Home page in the left navigation panel.
  2. Select a preferred dashboard from the drop-down.
  3. Click Add Widget in the upper-right corner of the page.
  4. Select a widget type
    1. Chart - Report-like widgets to visually represent project trends.
    2. Numbers(KPI) - A compact widget to display a single metric at a glance.  
    3. Embed URL - A widget that displays external web content directly within the dashboard using a URL link.
  5. Click Create Widget.
  6. Enter the widget name.
  7. Configure the Report Settings, Plot Options and Criteria.
  8. Click Apply.


Info
If the portal is integrated with Zoho Analytics, the reports and dashboards from the Zoho Analytics workspace can be added as widgets. 

Add Widget from Gallery

  1. Navigate to the Home page in the left navigation panel.
  2. Select a preferred dashboard from the drop-down.
  3. Click Add Widget in the upper-right corner of the page.
  4. Select a widget type
    1. Chart - Report-like widgets to visually represent project trends.
    2. Numbers(KPI) - A compact widget to display a single metric at a glance.  
    3. Embed URL - A widget that displays external web content directly within the dashboard using a URL link.
  5. Hover over a preferred widget and click Use this. 


Edit Widget 

  1. Navigate to the Home page in the left navigation panel.
  2. Select a preferred dashboard from the drop-down.
  3. Hover over a widget and click 
  4. Select Edit and update the necessary fields.
  5. Click Apply.
  6. Click  to filter widget based on criteria.
  7. Click   to view the widget in full screen.
  8. Click and drag the edges of the widget to resize it.

Clone Widget 

  1. Navigate to the Home page in the left navigation panel.
  2. Select a preferred dashboard from the drop-down.
  3. Hover over a widget and click 
  4. Select Clone and confirm your action.


Delete Widget 

  1. Navigate to the Home page in the left navigation panel.
  2. Select a preferred dashboard from the drop-down.
  3. Hover over a widget and click 
  4. Select Delete and confirm your action.

Personal  

Notes
The system dashboards are deprecated and will not be available after 31st August 2026.
Click the Home tab in the left navigation panel of your portal to view the status of your work across projects in terms of tasks, issues, phases, events, etc. The following is the complete list of widgets that are present in the Home of your portal.
  1. My Tasks - Tasks you own across projects. Click View More to view all your tasks. You can also filter your tasks based on task custom views that you have created across projects.
  2. My Issues - Issues you need to resolve across projects.
  3. My Overdue Work Items - Work items across projects past the due date.
  4. My Phases - An overview of your phases across projects.
  5. My Work Items Due Today - Work items scheduled for the current day across projects.
  6. My Timesheet - Graphical representation of the time log entries made in the past 7 days.
  7. My Events - Events scheduled for the current week.
  8. All Tasks - Tasks that are overdue or due today.
  9. My Approvals - Leave records that are pending approval (requires Zoho People integration).


  1. The Today's Work Items widget and the Overdue Work Items widget clearly display the list of work items that are in the pipeline and that have gone past the due date respectively. By default, these widgets display the data for both the tasks and issues.
  2. You can choose to view only the tasks or only the issues by selecting the specific option from the drop-down.
  3. You can drag a widget and swap its position with another. This repositioning will help you have the widgets that you need the most always on top.

Use cases

Construction: Engineers can view their own work items right from the Home - Personal view to get a quick overview of daily work items.

Marketing/ Sales: Marketers can view their tasks that are due for the day or overdue, the issues assigned to them, all tasks and issues that are assigned to them, and so on right from this Personal Home page.
 
HR: Recruiters can check their tasks for the day, overdue tasks, and more right from this page. This makes it easier for them to start their day. 

Home - Detailed View

To get a detailed view of the My Tasks, My Phases, My Issues, My Events, and My Timesheet widgets, click the View More button in the upper right corner of the respective widgets. Hover over the widget name in the detailed view and navigate to the other widgets from the detailed view itself.

Enable Widgets

  1. Users can enable the most used widgets and disable the rest.
  2. Click on in the upper right corner.
  3. Toggle on the widgets that you need.
  4. Click Save. The widgets that are enabled will be displayed.

Portfolio 

The portfolio dashboard gives a summary across all projects in the portal. A counter displays statistics related to your projects, tasks, issues, clients, and project groups. The project timeline Gantt provides a visual indicator of project schedules and where it stands.

Users can customize the dashboard by selecting widgets that they would like to see.
  1. Click in the upper-right corner and toggle the widgets.
  2. Click Save to update your selection.
  3. Reorder a widget by hovering over it and clicking and dragging the reorder icon (). Release the mouse pointer once the widget is in the desired location.

Use cases

Software/ IT: When multiple feature are being developed, it can be tedious to switch between each and every project to check the summary of the projects. A software administrator can check the project summary from within this Home Portfolio view.
 
Construction: Construction company owner can find the ongoing projects summary right from within the Home Portfolio view.
 
Sales: Multiple sales projects can be undertaken by the organization. The organization owner can have a check on the summary of all the sales projects from this view.  

PDF Export

Users can now export their project's portfolio dashboard in PDF files.
  1. Click  in the upper-right corner and select Export to PDF.
  2. Encrypt the export if you want to add an additional layer of security and click Ok.
  3. Portfolio PDF export will be processed, and a download link will get generated.
  4. Click on the Download link to download the export file.
User will also receive a download link via email.

Conditional Reports

The portfolio dashboard can further be drilled down using conditions. This will ensure the reports are optimized to individual or specific business needs.
  1. Click in the upper-right corner.
  2. Select conditions to apply.
  3. Click Find.
  4. View reports based on the conditions selected.
