In a typical hiring process, every candidate goes through multiple layers of evaluation. In Zoho Recruit, there are various instances where recruiters, interviewers and clients evaluate candidates and leave a rating of sorts.
From the initial screening tests conducted while candidates apply for a job to the interview assessments performed before making a hiring decision, every review is a crucial factor in determining whether the candidate fits the role they're being evaluated for. Hence, they need to be compartmentalized and stored contextually so each review can be referred to at any stage of the hiring process.
The answer to this is Zoho Recruit's Reviews sub-module.
How does the Reviews sub-module work?
To help you keep track of all candidate reviews in your hiring process, Zoho Recruit has a built-in sub-module called Reviews. Every review added in your Zoho Recruit account is stored as a unique record in this sub-module. You can add these records to custom views and perform mass actions on them.

The role of assessments in reviews
The purpose of the reviews sub-module is to track instances where candidate profiles are evaluated and all related data such as remarks, ratings etc. An important part of every review is the assessment used to evaluate the candidate.
To understand the reviews sub-module at it's core, you will need to understand the following concepts;
- Review Source
- Which review-type goes with which assessment-type
What is Review Source?
Recruitment processes involve multiple stages where candidates are evaluated for their skillset, their cultural fit, and more. In order to store all your reviews contextually, Zoho Recruit uses system-defined review sources that help you identify the context behind each review.
The meaning of a review changes based on who submitted the review as it gives much needed context on what the candidate was reviewed for. We separate reviews into four types, namely Answered Assessment, Recruiter Review, Interviewer Review & Hiring Manager Review (Corporate HR edition) / Client Review (Staffing Agency edition).

Each of the five review types make use of different assessment types. The following section elaborates on how each review type can be added and what type of assessment they require.
Answered Assessment
When a candidate applies for a job with a pre-screening assessment, a record is automatically created in the Reviews sub-module with the Review Status being Pending.
You can then send them the pre-screeining assessment via email. When the candidates completes and submits their assessment, their answers are automatically populated under the Answered Assessments section of the Candidate record and the Review Status is updated to Answered.
Recruiters can then evaluate the candidate's assessment and submit their review. Once this is done, the Review Status will be updated to Reviewed.

Recruiter Review
When you, the recruiter, add a review to a candidate record manually, it is added as a Recruiter Review in your Reviews sub-module. This can be done from the Candidates and Applications modules.
You can either click the Rating icon of the candidate record in the List View page or go to the Record Details page and click Related List > Ratings & Reviews > Add Review.

Required Assessment Type: Recruiter's Assessment
Interviewer Review
Reviews submitted by the interviewer upon evaluating a candidate in an interview are classified as Interview Review. This can be done from the Interviews module, either from the Quick View (Interview Kit) of interview records or by clicking Submit Evaluation in the Record Details page. Additionally, interviewers can also submit their evaluation via the client portal Interview Feedback form.

Required Assessment Type: Interviewer Assessment
Client Review (Staffing Agency only)
If you're a staffing firm, you usually submit candidate profiles to your client for review. The rating they submit for each candidate submission is classified as a Client Review. This is captured either from the Candidate Review Form or through the Client Portal.
Hiring Manager Review (Corporate HR only)
If you're a HR recruiter, you will usually submit candidate profiles to hiring managers for review. The rating they submit for each candidate submission (from their Recruit account) is classified as a Hiring Manager Review.
Review Names
Every review record's name is generated based on one of the following formats:
- {Candidate}
- {Candidate} for {Posting Title}
- {Candidate} for {Posting Title} of {Interview}
- {Candidate} for {Interview}
How do I track reviews?
In Zoho Recruit, every review has multiple records associated with it, namely, the candidate, client, job opening, and contact records. Therefore, we've made it so that you can track reviews from multiple places.
- From the Reviews sub-module list view page.
- From the Related List section of relevant records
Reviews sub-module
To access the reviews sub-module, just hover over the Candidates module and click Reviews. You will then be taken to the List View page, where all candidate reviews made in your account will be listed as records.
List View Page
When you access the reviews sub-module, you will be taken to the List View page. As the name suggests, all your reviews will be listed here. You can perform the following actions from the list view page. You will have the following Custom Views by default.
Click the Quick View (
) icon to preview any review record.
From the list view page, you can perform the following actions;
- Change Owner
- Mass Transfer
- Print Mailing Labels
- Zoho Sheet View
Upon clicking on a review record, you will be taken to it's Details Page.
Details Page
Every detail stored in the review record will be displayed on the details page. The details page is divided into two sub-sections, namely, Overview and Assessment Details.
Overview
The Overview sub-section is the face of a review record. This displays information pertinent to the review record such as the Candidate Name, Posting Title, Rating and more.
Assessment Details
When a review is added for a candidate, the review rating, comments and other associated information is stored under the Assessment Details section of the Review record. Reviews from client-contacts / hiring managers will have a Client Review / Hiring Manager Review tag to help you identify them easier.

To track reviews from related records;
- Go to the associated Candidate or Application record's details page.
- In the Related List section, click Ratings and Reviews.

Configuring Workflows for Reviews
By using Zoho Recruit's Workflows, you can configure automated actions to be performed on your Review records (based on pre-defined criteria). See More Workflow Rules

Sample Workflow

Say a candidate completes their assessment sent via email and submits it for review, updating the status of the Review record to Answered. Now, if the review status is Answered for more than 2 days, an email is triggered to the recruiter reminding them to submit their review.

Adding Reviews to your Dashboard
You can add any custom view from the reviews sub-module to your dashboard as a widget. This way you can stay on top of every review added in your Zoho Recruit account. See More Custom Home Tab
To add this report as a widget;
- In the Home tab click the
icon and select Add Component.
- Choose the Custom View option and select a view from the Reviews sub-module. Enter a name for your component and click Save.

- The widget will then be added to your Home Page.
How to export/backup reviews
The reviews sub-module come with data backup and export functionalities. Data Export lets you export a specific module view, while Data Backup lets you perform a total backup of all your review data (all module views and related data) into a file.
Export
- Go to Setup > Data Administration > Export and select which view you wish to export from the Existing View drop-down and click Export.

- The selected view will then be exported into a .csv file and sent to your email address.

Note: Enable the Notes & Assessment Details checkboxes if you wish to export all associated record notes and the assessment related to the review too.
Data Backup
When you perform a total backup of your Zoho Recruit data, the reviews sub-module will be included in the .csv file too. Go to Setup > Data Administration > Data Backup to configure data backup for your account. See More Request Data Backup
