Time entries by employee
Time entries of the
employee clocking using time clock are automatically added to the time entries whenever they clock in, clock out, start break, end break, take paid time off, missed their shifts. These time entries will be in the pending state until reviewed by the manager or employee who have access to approve them.
When employees are out of reach of their time clock, they can add the time entry for a specific date under My Timesheets. Once they add the time entry for their shift, it will be in the pending state until the manager reviews and approves it. This can be done from a mobile app or web app.
Add time entries for employees
When employees are out of reach of their time clock, admins or managers can add the time entry for them. Once they add the time entry for their shift, it will be in the pending state until the manager who have access reviews and approves it. This can be done from a mobile app or web app.
Before you start:
- Apart form admins and managers, other employees require Add, edit other employees' timesheets permission enabled for their role to perform this action.
- Once time entry is added, it will be in pending state and manager who have access to approve it will be reviewing and approving the time entry to reflect in payroll.
To add time entry for other employees:
- Log in to the web app on your web browser.
- Navigate to Timesheets -> All Timesheets.
- Click the + Add Time button at the right.
- Select the Date for which you want to add time entry.
- Select the Employee from the list.
- Select the Scheduled Shift, if available.
- Enter the Start Time and End Time of your shift.
- Click + Add Break, select the required break type, enter the Duration and Start and End time of breaks.
- Repeat the same to add multiple breaks.
- Select the required Schedule, Position, and Job Site.
- Enter Notes to the shift if you need.
- Click the Save Time Entry button.
You can also add time entry from the mobile app.
While adding time entries, overlaps are addressed. For example, manager is trying to add a time entry for 2:00PM-11:00PM for an employee who had already clocked for 8:00AM - 3:00PM shift, overlap conflicts does not allow them to add the time entry. Either manager has to edit the time or delete the time entry.
Edit a time entry
There may be scenarios where adjusting time entries are required to ensure the timesheets are aligned with the exact worked hours of the employees. Situations like missed clockings, break adjustments, schedule adjustments, incorrect start and end times, or time recorded against wrong schedule, position or job site will require an edit to the timesheet.
Before you start:
- Employees can edit their own timesheet from mobile app or web app based on their access level setting to edit.
- Managers or employees with edit timesheet for other employees access level can make changes to the timesheet of other employees based on the setting.
- For scheduled shifts timesheet, date, employee and scheduled shift cannot be edited or updated.
- When an edit made to already approved time entry by the manager or employee with access permission to only add/edit other employees' timesheet, the status changes to pending.
To edit timesheet:
- Login to web app on your web browser.
- Navigate to Timesheets -> All Timesheets.
- Select the List or Summary view.
- Choose the required filters like Schedules, Positions, Job Site, Status and Employees to have more specific timesheets.
- Choose the Date range.
- Click on the time entry that you want to make changes to, or click Edit from more actions (...) at the right side of the time entry.
- Make changes to the required field like Employee Date , Start / End Time, Scheduled Shift, update existing break or add new breaks, Schedule, Job site, Position, shift notes for which you want to add the time entry.
- Click the Save Time Entry button.
Employees can edit their own timesheet under My Timesheets following the above steps. Editing timesheets can also be done using the mobile app.
