Working with Images

Compelling documents require more than just words. In Writer, you can insert non-text elements to better illustrate your point or catch your reader's eye. Let's see how you can enhance your work by inserting images to your document.

Insert an image

To insert an image,

Place the cursor in your document, where you want the image to appear.

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click the Image icon.
Choose an option from the dropdown list and insert the required image in your document. You can insert images from your desktop, images library, web URL, Google Photos, Flickr, or directly from a web search.
Notes
You can add images by typing @ into your document. A dropdown list with shortcuts to insert images and other options opens.


Also, you can insert an image by clicking that appears in your document next to the cursor.
Make sure you have the license to use the required image.

Upload from desktop

If you think you have an image in your desktop gallery that fits the context of your content, you can use this option.

To insert images from your desktop,

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click Image and the dropdown menu opens.
  3. Click Upload and choose any picture from your device.

    The image will be inserted.

From URL

You can paste a web URL of the image and insert in your document. For example, if your colleague has shared the URL of a picture and you want to upload it, you can use this option.

To insert using URLs,

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click the Image icon.
  3. Click From URL in the dropdown list.
  4. Enter/Paste the URL of the image. Once you enter the URL, you can see a preview of the image. Click Insert.

    The image will be inserted.

From image library

The images uploaded will be stored in the Writer's image library. It is a repository of images, which you can use over and over again, once after uploading them.

To insert images from the library,

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click the Image icon. The Image Library window will appear.
  3. Click My Library in the left panel. The image library will be displayed.
  4. Select the image you want to use and click Insert. The image will be uploaded.
  5. You can also search for the required image using the search option.
  6. Use the Sort By option to choose images in an easier way. Sort by newest, oldest or by name, based on your requirements.

From Google Photos

Sync your Google photos inside Writer by authenticating your Google account.

To insert images from Google Photos,

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click the Image icon. The Image Library window will appear.
  3. Click Google Photos in the left panel.
  4. Click Authenticate Google.

    Log in with your credentials. Now, Zoho will request permission to access your images. Click Allow to proceed.
  5. The images in your Google Photos account will be displayed. Select any image you want and click Open. The image will be inserted.

Directly from the web

You can browse directly from within Writer and insert images in your documents.

To insert images directly from the web,

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click the Image icon. The Image Library window will appear.
  3. Click Web Search in the left panel and a web search tab will appear. Search for images using the search tab. Also, filter images with respect to the License and select the required image.
  4. Click Insert.

    The image will be uploaded.

From Flickr

If you have images stored in the Flickr account, you can easily upload them in Writer.

To insert images from Flickr,

  1. Click More > Insert tab.
  2. Under Pictures & Tables, click Image. A window will appear.
  3. Click Flickr in the left panel.
  4. Click Authenticate Yahoo and log in with your credentials.

    Zoho Corp will request permission for accessing your images. Click Allow to proceed.
  5. The images in your Flickr account will be displayed. Select an image and click Open. Your image will be inserted.

Images Options

You can set image dimensions, set styles, wrap images, add title, alt text and much more using the Image Options.

On clicking the inserted image, you will see a visual cue on the top left corner of the image from which you can perform some functions.

Warning
Please note that margins can be added only for images with wrap type set to square.

Set dimensions

To change the image dimensions,

  1. Click the required image to be edited and click the Settings icon. The Image Options panel will open.
  2. Under the Dimensions header, you can choose to retain the original size of the image or fit image to page dimensions. You can also customize the height and width of the selected image with respect to your needs.

Set style

To change the image style,

  1. Click the required image to be edited and click the Settings icon. The Image Options panel will open.
  2. Under the Style header, choose to change the image opacity and apply borders/styles to the image.

Image Opacity: This option can be used to apply image transparency. For example, if you want an image to be in the background of the text, this option will be helpful. You can increase or decrease the percentage of opacity and apply to any image in your document.

Image Borders: Apply border, change the style and width of the border for the selected image.

Arrange an image

You can arrange the image position inline with the text, left/right side of the text, in front/behind the text in Writer.

To arrange an image,

  1. Click the required image to be edited and click the Settings icon. The Image Options panel will open.
  2. Under Arrange header, choose the wrap type. The selected type will be applied to your image. Also, set margins around the selected image or rotate your image, if needed.

Set title and alt text

  1. Click the required image to be edited and click the Settings icon. The Image Options panel will open.
  2. Under Others header, enter the required name and alternative text to your image.

Crop image

You don't have to download or open a separate app to crop your images to downsize before inserting it into your documents. You can modify or crop as soon as you click on the image.

To crop the image,

  1. Click on the inserted image.
  2. Click the Crop icon. Crop the unwanted areas and hit enter.

Alternatively, under Edit header from the Image Options panel, you can choose to crop the image.

Annotate image

The markup tools in Writer will let you draw lines, circle objects, highlight areas, and add comments on the inserted images. This helps users to review images easily, clarifies what an image represents, and to point out feedbacks on any changes.

To annotate the image,

  1. Click on the icon near the inserted image or click Annotate Image under Edit header from the Image Options panel.
  2. Make the required changes to your image and click Done.

Positioning Images

In positioning images, one of the biggest problems is to get the images stay where you want them. An inline image is treated as a character in a paragraph, and will therefore only move along with the paragraph. A floating image can be dragged anywhere and the text will wrap around it. Although it is floating, it is always tied to an object anchor, usually a paragraph.So, they frequently move out of position as you add or delete text before and after them. 

Positioning floating images 

Floating Images are those that are placed on a layer over the text. When you set an image text wrapping to be in front of the text, the image appears on top of any text, and you can move it to any position you want. As you drag the image, the anchor will move and will connect itself to another paragraph.

You can fix an image in a specific position on a page using presets or use custom positions like absolute/relative positions to a page, margins, column or a line.

Positioning with Presets

The positioning of image is often rather time-consuming or may be very frustrating for both inexperienced and experienced users. Writer provides some powerful built-in positioning and wrapping options that can make your life easier.
 
Click on the image to be positioned and click on ‘Positioning → Custom’ to get few quick placement options for your images.

Presets help you to align the image in the middle of the document or on the top, bottom, left and right with respect to the margin, page, column or line with a click.

Custom Positioning

Custom positioning helps in advanced placement of images like placing them at a certain distance away from the margin or page.
 
Click on the image, Image tab → ‘Positioning -> Custom Edit’ to bring the properties to be set for custom placement of images.

Alignment (Vertical & Horizontal)

Horizontal option aligns the left or right edge of the selected image based on the anchor object chosen from the supported anchor elements like page, column, character or margins.
 
Vertical options aligns the top or bottom edge of the selected image based on the anchor object chosen from the supported anchor elements like page, paragraph or margins.

Anchored From

Floating images have “anchors”. If an image’s anchor is removed or hidden, the image will also be removed or hidden. Floating images are always placed in relation to an anchoring object like column, page margin etc.
 
For horizontal positioning, the possible values are:

  • character - relative to the position of the anchor in the content
  • column - relative to extents of the column which contains the anchor
  • insideMargin - relative to the left margin on odd pages and right margin on even pages
  • leftMargin - relative to the left margin
  • margin - relative to the page margins
  • outsideMargin - relative to the right margin on odd pages and left margin on even pages
  • page - relative to the edge of the page
  • rightMargin - relative to the right margin

For vertical positioning, the possible values are:

  • bottomMargin - relative to the bottom margin
  • insideMargin - relative to the inside margin of the current page
  • line - relative to the line containing the anchor character
  • margin - relative to the page margins
  • outsideMargin - relative to the outside margin of the current page
  • page - relative to the edge of the page
  • paragraph - relative to the paragraph containing the anchor
  • topMargin - relative to the top margin

Position (Absolute & Relative)

Choosing “Absolute position” means your image will stay in that exact position no matter what other formatting or text you might change.
 
A “Relative position” means your image will be placed relative to a part of the document’s structure. Here, if that part of the document moves, your image moves with it and stays in the same relative position.


Notes
  • Image will not necessarily stay on the same page. It will just be in the same position on a page. It is still anchored to a paragraph, and if that paragraph moves to another page, the image will move too.
  • Positioning image can be in level with;
    1. Insert an image
    2. Image Options (image properties)
    3. Positioning Float Images

Location

Specify an image location using its x and y coordinates. Enter x and y values in the 'Position' fields.

->The x value is measured from the left edge of the image to the anchor’s upper-left corner.

-> The y value is measured from the top edge of the image to the anchor’s upper-left corner.

Troubleshooting

1. Deleted image still appears in an older version of the document

Problem  
After you delete an image from a document, it may still show up in:
  1. Version History
  2. Direct image URL (if the image URL was copied earlier)
Cause  
Just like text, Zoho Writer also retains the deleted images in older versions of a document to support version history and reverts.

Solution  
To permanently remove the image from all versions and links in a document, please write to  Zoho Writer Support with the:
  1. Document ID (found in your document’s URL after /open/, e.g., https://writer.zoho.com/writer/open/<DocumentID>)
  2. Image URL (right-click the image > Copy Image Address, or use your saved link)

2. Can I insert multiple images into the document

Solution
1. ”Drag and Drop" or "Choose an Image to upload" -> Both the options will allow you to save the images in Image library and insert them into the document.
