How to setup presentation for a session in Zoho Backstage

Preparing for a session

As the event day draws near, offer speakers the features provided by Zoho Backstage to create, rehearse, and deliver sessions confidently.

Manage session material

Add materials for your session like presentations at any time and make your sessions engaging. Session materials can be projected for all attendees to see so that they can follow what is being said during the session.



  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab.
  3. Click the Materials link associated with a session. The Materials tab will display inside the session details view.
  4. Click the Add Material button. The Choose material dialog box will display.
  5. Click the area in the middle of the dialog box to open your files from your local system.
    Note: Alternatively click the Pick from Zoho Workdrive link to select files from the cloud.
  6. Select a session material to upload it. The Choose material dialog box will display with your uploaded file.
  7. Click on the file and click the Select button.

Note: Sessions can also be uploaded in the Content Library tab in the Manage Dashboard of the Event Console.

Associating presentations to your sessions is a paid feature enabled based on your subscription plan.

View and edit session material

You can easily make changes to session material, like adding a new slide or changing the layout of a presentation.



  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab.
  3. Click the Materials link associated with a session. The Materials tab will display.
  4. Hover over the material thumbnail and click the View icon to view and edit the material.

Download session material 

If speakers need to make offline changes to the existing content in their session materials, they can easily download to edit them.
 


  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab and find your session.
  3. Click the Materials link associated with your session. The Materials tab will open.
  4. Hover over the presentation thumbnail and click the Download icon.

NotesNote: You can also download session material from the Content Library tab in the Manage Dashboard.

Delete session material

Remove session material that isn't required for a session without deleting it permanently from the Content Library.
 


  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab.
  3. Click the Materials link associated with a session. The Materials tab will display.
  4. Hover over the material thumbnail associated with your session and click the Delete icon. The material can still be accessed from the Presentation Library or associated with another session.

NotesNote: To remove session materials permanently, go to the Presentation Library in the Content Library and delete them.

Adding handouts

Handouts are documents that provide summarized information from your session. They can uploaded for any session, and are tools that help attendees pay attention to what is being said without having to take down notes. Attendees can download handouts during the session and use them to review what is being shared. These documents can also help visual learners if you add images and illustration to go with text in the handout.



  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab.
  3. Click the Handouts link associated with a session. The Handouts tab will display inside the session details view.
  4. Click the Add Handout button. The Choose handout dialog box will display.
  5. Click the area in the middle of the dialog box to open your files from your local system.
    Note: Alternatively click the Pick from Zoho Workdrive link to select files from the cloud.
  6. Select a handout to upload it. The Choose handout dialog box will display with your uploaded file.
  7. Click on the file and click the Select button.

Downloading handouts

Make changes to handouts uploaded by others by downloading a copy and updating it.



  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab and find your session.
  3. Click the Hnadouts link associated with your session. The Handouts tab will open.
  4. Hover over the handout thumbnail and click the Download icon.

Deleting handouts

Remove irrelevant or unneeded handouts.



  1. Switch to the Manage dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Sessions tab.
  3. Click the Handouts link associated with a session. The Handouts tab will display.
  4. Hover over the handout thumbnail associated with your session and click the Delete icon. The handout can still be accessed from the PDF Library or associated with another session.

NotesNote: To remove handouts permanently, go to the Content Library and delete them.

Setting up polls

Use polls to engage your audience with surveys during a session. This will let speakers learn audiences' opinions and get feedback. 
 

 
  1. Access the Manage Dashboard by using the toggle switch in the top-right corner of the Event Console.
  2. Click the Sessions tab.
  3. Click Polls link that is associated with the event. The Poll panel will display inside the session details view.
  4. Click the Add Poll button. The Create Poll panel will display.
  5. Add a title and questions and choose a poll type. Add answers based on the question type selected.
  6. Click Done.
 

Create a single or multiple choice poll

Allow your audience to choose a single or multiple answers among various pre-defined options with the single choice and multiple choice poll respectively.
 

 
  1. Enter the poll title and question in the Create Poll panel.
  2. Choose the Multiple Choice option under the Poll type section.
  3. Enter options for attendees to choose from in order to answer the question.
  4. Click the Add option link if you want to include more choices.
  5. Click the Add question link and repeat the same steps if you want to add multiple questions which will be displayed in sequence when projected to the audience.

Create a rating poll 

Get an item rated or ranked using a rating poll.
 

 
  1. Enter the poll title and question in the Create Poll panel.
  2. Choose the Rating option under the Poll type section.
  3. Choose the number of stars for the answer.
  4. Click the Add question link and repeat the same steps if you want to add multiple questions which will be displayed in sequence when projected to the audience.
 

Rehearse a presentation

Give your speakers a tool to rehearse their upcoming session. Enable them to get a practice run in with a test audience and to familiarize themselves with the content they're going to share. Ensure that everything is in order for the uploaded materials and handouts during rehearsal.



  1. Switch to the Conduct dashboard using the toggle button in the top-right corner of the Event Console.
  2. Click the Rehearsal tab.
  3. Click the Test participants tab to invite your audience for the rehearsal.
    1. Click Add participants.
    2. Enter the email address of the person you want to invite.
      Note: You can invite up to 20 test participants for rehearsals in your event.
  4. Click the Rehearse sessions tab. All sessions in your event will be displayed in a timeline on the left.
    1. Click a session in the timeline. The session details will be displayed on the right.
    2. Click Notify participants to join event link to send a reminder email ahead of the rehearsal to test participants.
    3. Click Rehearse session button for that session. You will joined into the event in OnAir and navigated to the session under the Sessions tab. The Rehearsal label will be found at the top-left corner of the screen.

Note:
  1. You can rehearse sessions up until the session begins.
  2. You can remind speakers to join rehearsals when inside the Virtual Space. To do this, click the session name and click the Notify speakers to join link.
