 1. What are the QuickBooks Desktop Versions on which the Zoho Analytics - QuickBooks Desktop integration works?

You can setup the Zoho Analytics-QuickBooks Desktop integration if your QuickBooks Desktop belongs to one of the below versions.

  • US Enterprise 2015
  • US Premium 2015
  • US Pro 2015
  • US Enterprise 2016
  • US Premium 2016
  • US Pro 2016

 2. How do I setup the QuickBooks Desktop Advanced Analytics Add-on?

Transferring data between Zoho Analytics and QuickBooks is possible by using a tool called QuickBooks Web Connector (QBWC) provided by QuickBooks. It is an application that works with QuickBooks and acts as a connector to exchange data with other applications.

Follow the steps below to setup the QuickBooks Desktop Add-on:

Step 1: Install the QuickBooks Web Connector

Step 2: Configure the QuickBooks Desktop settings from the Zoho Analytics Interface

Step 3: Add the Zoho Analytics Application to QuickBooks Web Connector

Step 1: Installing the QuickBooks Web Connector

The QuickBooks Web Connector is a software application that runs on Microsoft Windows that enables external application to exchange data with Zoho Analytics.

You can install the QuickBooks Web Connector from: http://marketplace.intuit.com/webconnector/

 Step 2: Configuring the QuickBooks Desktop settings from the Zoho Analytics Interface

Note

  • A company can be synced with only one Zoho Analytics account at a given time.
  • Log into Zoho Analytics using your credentials.
  • Click Import from QuickBooks Desktop in the Zoho Analytics homepage.

 

  • In the Import from QuickBooks Desktop dialog that appears enter a mandatory database name and a description (Optional).
  • Enter the full path of the company file in your QuickBooks Desktop in the QuickBooks Desktop file path field.
  • Click Next.

 

  • Select the QuickBooks DesktopModules that you wish to import.
  • Select the Time Zone of the date columns in your QuickBooks data.
  • You can choose to synchronize your data at hourly intervals mentioned below:
    • 3 Hours
    • 6 Hours
    • 12 Hours
    • Everyday

 

  • Upon clicking Create, a screen as shown below will be displayed.Click Download QWC file.

 

This downloaded QWC file should be added in the QuickBooks Web Connector to establish the connection.

 Step 3: Adding Zoho Analytics Application to QuickBooks Web Connector

The QWC file that is generated in the previous step should be added in QuickBooks Web Connector using the Add Application option. Once the file is added in QuickBooks Web Connector, you can run this application to sync data between QuickBooks and Zoho Analytics.

To add the Zoho Analytics to the QuickBooks Web Connector, follow the below steps:

  • Click Start > Programs > QuickBooks in your system.
  • In the QuickBooks Web Connector window, click Add an Application.

 

  • In the Select a.QWC filewindow, browse the .qwc file that was downloaded from Zoho Analytics, and then click Open.

 

  • In the Authorize New Web Servicepopup window that opens, review the application information, and then click OK to connect QuickBooks Desktop with Zoho Analytics.

 

 

  • Once you have entered the password, Click the Update Selected Button. This will establish your connection and initiate the initial data synchronization between QuickBooks Desktop and Zoho Analytics.

 3. How do I edit the setup?

  • Open the QuickBooks Desktop Advanced Analytics reporting database.
  • Click the QuickBooks Desktop button in the Explorer tab.

 

  • In the Data Sources tab that opens, click the Edit Setup link.

 

  • In the Edit Setup Dialog that opens make the necessary changes.
  • Please do note that in case you make any changes in the automatic schedule import settings, you will have to download the new QWC file and update it in the QuickBooks Web Connector application.

 

 4. How can I download the latest QWC file?

You can download the QWC file any time, even after setting up the connector. To download the latest QWC file,

  • Open the QuickBooks Desktop Advanced Analytics reporting database.
  • Click the QuickBooks Desktop button in the Explorer tab.

 

  • In the Data Sources tab that opens, click the Download QWC File link. The QWC file will get downloaded.

 

 5. How do I create reports and dashboards using this add-on?

Zoho Analytics drag-and-drop based reporting is so easy to use that you could create any report or dashboard on your QuickBooks Desktop with no IT help or technical knowledge and share them to your colleagues.

 6. How can I disconnect/remove the setup from Zoho Analytics?

To remove the data source,

  • Open the QuickBooks Desktop Advanced Analytics reporting database.
  • Click the QuickBooks Desktop button in the Explorer tab.
  • In the Data Sources tab that opens click the Settings icon and select Remove Data Source.

 

 Troubleshooting

 1. What should I do if there is a connectivity issue?

Connectivity issues can arise due to multiple reasons. Ensure that there is an Internet connection between the QuickBooks Web Connector and Zoho Analytics. Verify if the company file is present in the file path that is mentioned. If the connectivity issue persists, write to us at onprem-support@zohoanalytics.com. Our support team will analyze the case and get back to you.

 2. I got this email which said 'Setup Process Failed'/'Synchronization Process Failed'. What should I do?

The import/sync process of your company data from the QuickBooks Desktop can fail sometimes, due to a variety of reasons. Hence you may receive such mails occasionally. Do check and re-establish your connection between QuickBooks Desktop and Zoho Analytics (Refer to this Step 3).

If the issue persists, click the View Logs button in your QuickBooks Web Connector application and send us the view log report to onprem-support@zohoanalytics.com. The Zoho Analytics team will look into it immediately and get back to you with the required corrective action.

 

 3. I have changed my auth-token. What should I do now?

If you have changed your auth-token, it is necessary that you re-establish the connection in the QuickBooks web connector. Failing to do so will result in synchronization failure. To re-establish the connection in the QuickBooks Web Connector refer to this link.

 4. I have renamed the company file in QuickBooks. Now I am unable to view the latest data in Zoho Analytics. What should I do?

For the synchronization to be successful, there must be a proper connection between Zoho Analytics and QuickBooks Desktop.

If you have renamed the file then, you need to disconnect the setup and configure it once again.
