1. In a nutshell

Resources are physical assets that can be rented out as a service. Resources are priced by time, so customers pay based on the duration of their booking. For example, a customer could rent a banquet hall, equipment, or vehicles for three hours, paying an hourly rate.

    • Super admins and admins can add, edit, and delete resources

    • Workspace admins can add, edit, and delete the resources assigned to their workspace

    • Managers can view the resources assigned to their workspace

    • Staff will not have access to this feature 

3. Overview

Resources are physical properties that allow customers to book them based on availability and time-based pricing. This is ideal for businesses that charge for resources, helping to schedule and manage them efficiently.
In Zoho Bookings, resource booking allows you to manage and schedule physical assets or any other rentable items. You can add these as resources, assign them to the required event type (to be able to offer the resource as a service), and let customers book them based on their availability. Once the resource booking appointment is created, Notifications will be sent to the customer and assigned user based on the configuration for the selected event type.

4. Usecase

Consider a clubhouse management scenario in an apartment complex, where residents can book amenities such as a badminton court, indoor stadium, gym, library, and swimming pool. These amenities are referred to as "resources" in Zoho Bookings. For example, you can list resources like "Badminton Court 1," "Gym Equipment Area," or "Swimming Pool" for booking by assigning them to the relevant event types. To avoid double-booking and manage high demand, the clubhouse needs an efficient system to ensure availability.

With Zoho Bookings, resources can be easily added and managed. When a resident visits the clubhouse's booking URL, they can select an event type and choose the specific resource they want. Once a resident makes a reservation, notifications will be sent to both the resident and the assigned staff, based on the configuration for that event type. This feature allows for efficient resource management, prevents double-booking, and keeps schedules organized for both residents and staff.

5. Steps to add a resource in Zoho Bookings

  1. Click the Admin Center icon  in the top-right corner of the Bookings menu bar. 
  2. Select Resources under Modules. This will list out all the resources.



  3. You can proceed with one of the following options:
  • If you are adding a resource for the first time, click the Add Resource button in the center of the page.
  • If you have already created resources, click the Add Resource button in the top-right corner to add the resource to your workspace. A pop-up window will appear.


  1. Enter the following information in the Add Resource pop up.
  • Name - Name of the resource. This field supports between 2 and 50 characters.
  • Assign Workspaces - You can assign the resources to the required workspaces by clicking on the dropdown.



  • DescriptionYou can include detailed information related to the resource.

  1. Click Add. A new resource will be added. 



    You will be redirected to the Resources section, where the newly created resource will be listed. Resources can be assigned to the eventtypes and made available for booking.

6. Points to note

  1. When a resource is booked, there is no fixed booking limit. Instead, customers are charged based on the duration of their booking, which may lead to extended usage without preset time constraints. For example, if the rate is $1 per hour, customers can book the resource for any duration (e.g., 20 hours) and will be charged accordingly (e.g., $20).
  2. Under Custom Labels, you can rename Resources to any term that fits your setup (for example, Rooms, Equipment, or Facilities). This customized label will appear across all relevant sections in your Bookings account for a consistent experience.
