Admins can effectively manage resources by performing the following actions:
- View and edit resource details
- Manage assigned event types
- Set and adjust resource availability
- Configure resource integrations
- Delete resources as needed
- Customize the resource booking link

Roles
Super admins, workspace admins, and admins can manage all the resources
Managers can view the resources assigned to their workspace
Staff will not have access to this feature
3. Overview
In Zoho Bookings, resources can be added by assigning them to specific event types, making them available as services that customers can book based on availability. Resources can be managed by viewing and editing details, managing assigned event types, adjusting availability, configuring integrations, and accessing the resource booking link to make booking them easier for customers.
4. Managing resources
You can click on the options icon
in the resource card to edit, mark it as inactive, or delete it.

4.1 View and edit resource details
You can view details of the resource, including its name, assigned user, description, workspace, and status.
Go to the Admin Center and select Modules > Resources.
Select the desired resource to view its basic information.
Click the Edit button at the top-right corner to update details such as the resource's name, assigned user, description, workspace, and status.
4.2 Manage assigned event types
You can view the list of event types to which the resource is assigned by clicking on the desired resource.
- Click the options icon
next to each event type name to either share the booking link specific to that event type and resource, or to remove the assigned event type.

- Click the Assign button at the top-right. A list of event types will appear

- Select the desired event type and click Assign to allocate it to the resource.

4.3 Resource availability
Resource availability settings allow you to define regular working hours, set special hours for specific days, and mark unavailability as needed. These options ensure that resources are accurately scheduled and accessible for bookings.
4.3.1 Working hours
Click Customize to set specific time slots for the resource whose usage differs from the standard business hours.

- Adjust the working hours as needed, then click Save.

Note: If needed, click the Revert button to discard the changes and return to the previous settings.

4.3.2 Special working hours
- Click Add to include additional time slots, such as weekends

- Select the From date and To date, and provide a reason if required, to add the availability. Click Add.

Note :
- You can enable or disable All day, and select the From and To date-times.
- Enabling All day will block all time slots for the entire day of the selected dates.
- The hours added by you will be listed, and can be edited or deleted if required.

4.3.3 Unavailability
- Click Add to add block slots or to add time off hours for the selected resource.
- Select the From and To dates to add the unavailability, then click Add.

Note :
- You can enable or disable All day and select the From and To date-times.
- Enabling "All day" will block all time slots for the entire day of the selected dates.
- The hours added by you will be listed and can be edited or deleted if required.

4.4 Resource integrations
The availability of a resource can be managed by adding calendars. On this page, click the Add Calendar option to add multiple calendars to a resource.
To add a calendar to a resource
- Go to the Admin Center and select Modules > Resources.
- Select the desired resource and click on Integrations to view its Calendar Connections.

- In the top-right corner, click Add Calendar next to the calendar that you want to add. Click Connect.

- In the Check for Conflicts with window, select the calendars from which availability needs to be checked for the resource, then click Save.

- Click the edit icon next to the Add Bookings to section and choose any calendar to which the resource bookings should be added to. Click Save

While booking a resource, its availability will be checked from the calendars chosen under the Check Conflicts with section, and its bookings will be added to the calendar chosen under Add Bookings to section.
Note:
- You can add multiple calendars to a resource in this page by clicking the +Add Calendar option.
- Availability can be checked from multiple calendars. Bookings of a resource can be added to any one calendar under Add Bookings to section.
Connecting Zoho CRM Calendar to a resource
When Zoho CRM Calendar is connected to a resource, the admins can choose which staff's calendar needs to be synced to it.
Note:
Ensure that the required staff is added in your Zoho CRM before connecting the calendar.
After adding Zoho CRM Calendar, it displays the list of Bookings staff added in
the CRM. Admins can choose a staff calendar and connect it to the resource.

Likewise, the bookings(appointments) can be added to any staff's calendar in the Add Bookings to section.

4.5 Delete resource
You can delete any existing resource. Super admins, workspace admins, and admins can delete any resource, while managers cannot delete the resources.
If the resource you are deleting has upcoming bookings, a pop-up will appear asking if you wish to proceed with the deletion, as this action will cancel the future appointments.
The pop-up will also provide the option to reschedule the affected bookings.
- Navigate to Setup > Modules > Resources.
- Hover over the required resource, click the options icon
, then delete the resource.

Once deleted, the resource will automatically be removed from all its assigned event types.
4.6 Resource booking link
The resource booking URL is a unique link generated for each resource, allowing customers to view directly and book that specific resource.
Click the Share button in the required resource card to copy the resource booking URL and share it with your customers for easy booking.

Alternatively, click the Share button and select the "Embed as Widget" tab. Click the Copy Code button to copy the source code, which can be used to embed the booking page on a website.

You can also enable the One-Time Booking option in the Share Link tab. This generates a temporary URL that can be shared with customers, allowing them to book the resource only once. The same URL cannot be used for additional bookings, preventing multiple appointments from the same customer. You can always click the Regenerate button to generate another temporary URL.

You can also click the options icon
next to the service under the assigned event type section to share the booking link, specific to that event type and resource, or to remove the assigned event type.
