Appointment and payment status

1. In a nutshell

This page explains the status of the appointment and its payments. Each appointment has its own appointment status and payment status, which is based on its current state. For example, an appointment status can be Upcoming, and its payment status can be Completed. These statuses can be updated to make a quick change. For instance, an Upcoming appointment can be marked as No-show if the client didn't arrive. Similarly, a Pending payment status can be updated to Due if a partial payment is made.
Appointment and payment status can be updated from Appointments tab.

2. Feature availability

Idea
  1. Available for all plans.
  2. Roles
    1. Super admins and admins can update the status for all appointments
    2. Workspace admins and managers can update all appointments of their assigned workspaces
    3. Staff can only update their own appointments

3. Appointment status in Bookings

The status of the appointment lets you know where it stands. The various statuses in Bookings are:
  1. Upcoming: Displayed once an appointment is booked.
  2. Ongoing: Displayed during the appointment period.
  3. Completed: Displayed once the user marks an appointment as completed.
  4. Canceled: Displayed when the user marks an appointment as canceled.
  5. No Show: Displayed if the user marks that the customer didn't show up.
  6. Mark as: Displayed if the appointment period has passed and the user has not changed the status yet.

3.1 Scenarios for updating appointment status

  1. An Upcoming appointment can be rescheduled or canceled. An Upcoming appointment which belongs to Group Booking (single or series) can only be Canceled.
  2. An Ongoing appointment can be rescheduled, canceled, marked as Completed, or marked as No Show.
  3. A Completed appointment status cannot be changed.
  4. A Canceled appointment can be rescheduled.
  5. An appointment marked as No Show can be marked as Completed or Rescheduled.
  6. An appointment can be marked as Completed regardless of the payment status.
  7. When an appointment is marked as Completed, the payment status can be marked as Paid.

3.2 To update appointment status

  1. Switch to the required workspace and click the Appointments tab on the left side.
  2. Select any of the Upcoming/Past/Custom Date tabs, and the appointments will be listed.
  3. Update the appointment status by choosing the required status in the dropdown on the Status column.

The payment status and appointment status are independent of one another.

4. Payment status

If you have configured payment for your bookings, here are the various payment statuses:
  1. Pending: Displayed when the customer has not made any payment.
  2. Due: Displayed when the customer has made a partial payment.
  3. Paid: Displayed when the customer has made full payment.
  4. Payment Failure: Displayed when the customer has tried paying, but the payment is not successful.
  5. In Progress: Displayed when the customer has tried paying, but the payment process is still in progress. An appointment will only be confirmed if the payment process is successful within 1 hr 35 mins of booking.

4.1 Scenarios for payment status

  1. Payment failure
    1. If payment has failed for a future appointment, then the appointment will be canceled.
    2. If the payment has failed for an ongoing or past appointment, then the appointment status will not be affected.
  2. In progress
    1. An appointment will be canceled if the payment is not received within 1 hr 35 mins of booking. If you'd like to avoid the cancelation, you can change the payment status to Due or Paid.
  3. Paid
    1. If the appointment is marked as Paid, it cannot be reverted.

4.2 To update payment status

  1. Click the Appointments tab on the left side and select the required appointment. Appointment Summary will slide from right.
  2. Click the Customer Info tab, and under that, select the Payment tab.
  3. Hover over Status and click the edit icon .
  4. Update the payment status and click Save.
    1. Paid - Select Paid if the full amount has been paid.
    2. Due - Select Due and enter the partial amount that has been paid.
    3. Pending - Select Pending if no payment has been made.

5. Points to note

  1. For group event type bookings, appointment status will be updated automatically to Completed as soon as the appointment gets over. Within that, each customer's appointment and payment statuses can be updated and tracked individually.
