App Admin - Overview
Overview
App admin is a Zoho Creator-specific, app-level role with access to a specific Zoho Creator custom application within Zoho One. This role allows the user to manage all aspects of the application independently, without having access to other modules or applications within Zoho One.
A organization owner, organization admin or a Zoho Creator service admin in Zoho One can assign a user as an app admin. Additionally, when a user with the Create Application privilege creates a new application, they become the app admin by default for that application. This is an app-level administrative role and is broader than a developer.
Assigning app admin role to a user
You can assign any user in your organization as an app admin for the application.
Privileges
An app admin can perform the following actions within the application they administer:
- Manage users for Zoho Creator custom applications through the application summary page, which redirects them to Zoho One's user management tab. Learn more
- Initiate, schedule, download, and restore application backups. Backup restoration, creates a new, independent application without affecting the existing backup data. Learn more
- View and export the audit trail that maintains logs on the sequence of activities performed by users within the live application. These logs help track actions for compliance and troubleshooting. Learn more
- Access auto-generated, time-stamped app logs, such as form actions, schedules, and emails. These logs helps to keep track and monitor application performance. Learn more
- Manage application deployments across environments such as Development, Stage, and Production to support proper development lifecycle practices. Learn more
- Grant or revoke permissions for APIs that access the application to control integrations and external access. Learn more
- Configure domain restrictions to allow or block access to users whose email address belongs to a verified domain. Learn more
- Publish application components such as forms, pages, and reports, making them available to all users in the application. Learn more
- Grant or revoke access for the support team to assist with debugging and issue resolution. Learn more
- Access analytics related to workflow blueprints and overall application performance. Learn more
- Create and manage Zoho Creator's form email which is used to send notifications or form submission data via email. Learn more
- Configure and manage the rebranded mobile version of the application for mobile users. Learn more
- Set up and manage a portal related to the application, allowing controlled external access where applicable. Learn more
Role characteristics
- There is no limit on the number of app admins per app or organization.
- The app admin role does not consume a special license.
- If an app admin is removed from an app, the app continues to function without an app admin, and there is no automatic reassignment. A organization owner, organization admin, or Zoho Creator service admin in Zoho One can assign a new app admin at any time, and the administrative work done by the removed app admin will not work until a new app admin is assigned.
- If a user is deactivated and then later reactivated in Zoho One, their app admin privilege is restored; no automatic transfer of admin privileges occurs.
- Zoho One role operates at the organization level, while the app admin role operates only at the app level. The scopes of these privileges are separate and do not conflict.
- The app admin can delete applications only if they are part of them and the provided application is subject to organizational governance. The organization owner or admin in Zoho One cannot override or restrict app deletion, ensuring centralized control over critical actions.
Limitations
- An app admin cannot perform the following actions:
- Assign, remove, or modify app admin access for other users.
- Promote an app member to app admin. Only organization owner, admins or Zoho Creator service admin in Zoho One can perform this promotion from app member to app admin.
- Access or manage other Zoho Creator applications unless explicitly added by the organization owner, organization admin or Zoho Creator in Zoho One.
- Grant the Create Application Privilege to others.
