Over the years we have accumulated alot of products that are now INACTIVE. I am unable to delete them as they are attached to quotes which is fine, however they keep showing up in search results which is causing a ton of issues for us.
I was given two workarounds... (a ton of clicks or manually edit 15,000 records)
Option 1. Use products module to search...
Click 1. Go into products module
Click 2. Select filter, scroll to find ACTIVE products filter
Click 3. Click on Active products filter
Click 4. Click on filter products by
Click 5. Type field name (presuming you know it)
Click 6. Click the box for the relevant field (presuming you know it)
Click 7. Click to change filter option from "IS"
Click 8. Click to set filter option to "CONTAINS"
Click 9. Type the search criteria
Click 10. Click apply to apply the filter
Option 2. Delete inactive products by dissociating them from records
- You can only delete a product if it is not associated with any quotes, sales orders, invoices, accounts, etc...
- If it is associated you must first remove the association before you can delete the product.
- We have about 100 INACTIVE products with each possibly 100 quotes, 25 sales orders and 25 invoices...
*** So I'd have to manually edit 15,000 records in order to remove these products from the system.
*** Multiply this by 100,000 users with a similar problem and those users have to edit a combined total to 1.5 Billion records.
Preferred Option
- Zoho add a product setting for the admin to "Hide Inactive products from Global Search" and then just type into global search
- Another issue this would solve is Multi-select lookup fields for products. Inactive products also show up there too when searching which is a big pain.
We all understand that clean data is essential, yet as we populate the system with more and more data it's vital that we can easily hide / remove the redundant stuff otherwise users will be turned off.
fyi... does Zia voice search inactive products too?
