We would like to keep you updated about a set of new email guidelines from
Google and
Yahoo, effective from February 2024.
To enhance the deliverability of emails sent through Zoho CRM,
we have been actively urging customers with custom domains to authenticate their domains through SPF and/or DKIM authentication methods.
To guide our customers on these best practices and required standards for effective email communication, we have explained the guidelines and given you the solutions in this document. Who will these guidelines affect?
These guidelines apply to all email senders, including/particularly organizations classified as 'bulk senders' - those sending more than 5000 emails per day to Gmail and Yahoo addresses.
What will happen if you don't follow these guidelines?
Failure to adhere to these guidelines may result in:
- Emails being marked as spam
- Increased bounce rates
- Senders' domain being blocked by email providers, impacting email delivery
Key Highlights of the new guidelines
- Email Authentication: Mandatory authentication of your organization's email-sending domains through DKIM (DomainKeys Identified Mail). For bulk senders, SPF (Sender Policy Framework) authentication is also required.
- DMARC Policy Compliance: Setting up a DMARC (Domain-based Message Authentication, Reporting, and Conformance) policy is crucial. This helps in defining the email authentication process and protects against domain misuse.
- Avoiding public email addresses: Emails should be sent from addresses linked to your organization's domain, not from public providers like Gmail or Yahoo.
- One-click unsubscribe feature: Providing an easy and visible option for recipients to unsubscribe from emails, particularly in promotional content.
- Relevance and quality of content: Maintaining a low spam rate by sending relevant, well-formatted emails. Zoho CRM offers an email credibility dashboard to monitor performance.
