Meeting Rooms: Learn to Create Amazing Appointment Scheduling Sites

Meeting Rooms are not like other industries for those who want an appointment scheduling site for it. While other industries see this a part of their public face, appointment scheduling sites for meeting rooms do not have to worry about that as the people who will be viewing it will be company employees themselves.

This does not mean that you need not put effort into making the site a part of your organization. The sites for meeting rooms serve a purpose and they have to be designed in such a way that all objectives are met.

A well-designed appointment scheduling site for a meeting room will look like a part of your organization more so than anything else. This is something that can be easily achieved by Zoho Bookings.



In this guide, we will have a brief look as to how you can do that for yourself without spending too much time and effort for something as important as this.


Do you really need an attractive appointment scheduling site for your company?

Meeting rooms are not like other topics where the design of an appointment scheduling website needs more consideration and effort to be put into it. When it comes to meeting rooms, your aims and objectives should be different as compared to those of, let us say, a small business while making the appointment scheduling page.

You do not need any sort of promotion on your website because the people who come to this website trying to book the meeting room know precisely if and when they want the space. Instead, you should concentrate on providing more information about the room because it will be beneficial to people who use it from time to time.


Certain rules and guidelines need to be followed while doing this. But why?

Standards which refer to certain industries can be used in meeting rooms. That is because the goals are specific when developing the page.

While it is true that while designing text and information should have the highest priority, it does not mean you should not pay any attention to the design!

Only if the design compliments it well enough can we appreciate a good site with text. Like also in any business, there are certain elements on your booking page that need to be built to make you look tailored and up-to - date as per your needs. All right, so, how should you go about making an appointment scheduling site?



Since meeting room scheduling sites need optimum readability with a quick look on the eyes, this should always be in your mind because any element on the website should be simple on the eyes without undue effort from them.

They will make the style of the booking page simple to grasp by having it concise and visually appealing. Fortunately, we have many templates for you to select from which to take care of that part.

With respect to the design, we will instruct you on how to create it as appealing as possible without placing too much effort into it.


The best place to start is your background image.

The first phase in this method is to get an idea into how the booking page will feel. Again, you will get ideas from other related pages, and you have a good picture about what you need.

Although you can choose whatever color you want, we will encourage you to choose a color that makes it easier to read the text on top of it. White or near-white colors are typically the best options for this. This helps us to maintain the reader's attention on the text rather than the design, while complementing it at the same time, which is what we want on our website.

If you would rather go with a color that is darker in nature, ensure the color allows the text to be easily legible on top, which will have a contrasting color.

You may even go for a background based on the images. Try picking a image that has lots of whitish shades that dominate the photograph for the reasons we have just spoken about, if that is the option that you want to go ahead with.

For the purposes of this tutorial, let us assume you choose white as the primary color. Now that we are going to include one color in the color scheme we have defined; we have to select another color that can be used along with white.

The advantage of using a color centered on white in a color scheme is that almost every paint can be used in conjunction with it. If there are so many colors to pick from, how can we select the second one for our scheme?

We would advise you to visit your meeting room website to get an answer to this. Many companies have a color scheme that they regularly use for their websites and this is where you need to choose the hue.

Bearing in mind the combination of these two colors, try to look for a background image that very well incorporates these. That is because it provides a rather pleasant and appealing feel to your booking page as this color scheme is heavily utilized on all the elements of your booking page.

An exception to that is that if you do have a website that uses a certain color scheme, it would be easier to stick with it precisely if the organization follows the design language exclusively.

You may also use photographs which your organization owns for its usage. If not, you can look for pictures from websites such as Shutterstock and 123rf for pictures offered for this specific reason or you can even check for royalty-free pictures from other sites.

Ensure the picture you choose is not too cluttered with topics, because you can clearly see the text that will fall across it on the booking page. If you choose to change some icon in addition to the default logo on the website, such as attaching the meeting room logo to it, please bear in mind that you will need to use software such as Canva or specialized tools such as Photoshop for this reason.

Now that your background image is finalized, let us go over the color customization next.


What about the other things on your site, then?

We had already discussed that the color scheme would also be used on other elements in the page. That is such that when it comes to visual design we will ensure that the backdrop and the components go along with each other.

While adding the same for the text and the press, ensure that the correct color is added that correlates with the color underneath. For e.g, if the background color on the screen where the text is being filled is white, then the text color will be the other color you have chosen in your color scheme.

Additionally, you can also ensure that for the same purposes, the business logo used on the booking page always matches well against the background. Check out the website after you have completed both of these, by clicking on the Go To button at the very end of the customization options to test if everything is as you need it.

Based on this, you can assess further whether you need to alter or tweak something you have added to the website so it looks better than before.


The text on your site is probably the most powerful part.

The text on your booking page comprises primarily of two lines which you may use according to your needs. While some may use it to display phrases used to market their product, others may use it to give specific instructions that should be taken into consideration when booking appointments.

So, when you book the appointments with your meeting room, your text that should be on the page really comes down to what you need your clients to see. This space can also be used for any creative free advertising you need.

Ensure sure the clients comprehend the text clearly and quickly and they are confident on what they need to understand before scheduling their appointments.

Additionally, if you choose to view additional text other than these two sections, editing the picture would allow you to add it to the background document.

For this scenario, ensure you should not apply the text to the picture where the buttons will overlap, and you can avoid the buttons on the booking page covering the message. Bear in mind that the color of the document will suit the color you are using on the other text-based components to ensure that the template is legible and consistent.


Is that everything that you need to do? Not quite!

Take a look at the page at the end and see if you have achieved what you wanted to. For any update you make, we will recommend that you keep reviewing your page so that you can make further adjustments while you continue through the editing method.

Overall, you can be sure that your booking page is not too cluttered, that it is beautifully appealing, and that it is readable very clearly to anybody who may use it. You should also ensure that you provided all the relevant details that the consumer should be informed before scheduling an appointment with your meeting room.
