3. Overview
Including physical locations for the event types you offer can simplify the management of multiple locations and communication with your clients. This is beneficial for both the customers and the business. With a clearly defined meeting location, the customer avoids wasting time locating the venue, while the business minimizes delays and the need for rescheduling due to late arrivals.
Zoho Bookings lets you add multiple physical addresses for a workspace. The event types under that workspace can use any of the added locations. When a customer books an appointment, the location details will be sent to them through notification (email and/or SMS if opted). The location details will also be added to the calendar event.
4. Use case
Suppose a marketing team conducts events in different cities for their product promotion. It encourages leads to register for the event when they visit their city. The event location has to be communicated to the leads to reach the event. In Bookings, location details can be added to the event type and when the client registers for the event, they will be notified along with the location details. This ensures the clients arrive on time, avoiding any unnecessary hassle.
5. Steps to add in-person location
You can add multiple locations under a workspace in the In-person Location module. Any one of the locations can be linked to the event type of that workspace.
5.1. Add location under Modules
- Navigate to Admin Center
> Modules > In-person Locations. - Click + New Location and enter the below details in the Add Location pop-up.
- Workspace: Choose a workspace in which locations have to be added.
- Location name: Provide a name for the location.
- Location details: Provide a little more information on how to reach the location.
- Click Add. You can use these steps to add multiple locations in a workspace. Once a location is added, it can be linked to any of the event types in the respective workspace.

5.2 Link to existing event types
- Navigate to Event Types, select the event type > Basic Details tab.
- Select Offline as the Meeting Mode, then select any one of the locations.

6. Things to know
6.1 What happens when an appointment is booked?
- When an appointment is booked, the customers will be provided with the location details in the Confirmation page, Booking summary, and Notifications(if opted).


- Users can view the location details in the appointment summary.

- If the appointment is added to the calendar, then the location details will be added to the location field of the calendar event.

6.2 Delete location
To delete a location, hover over the required location, click the Options icon
, and select Delete.

- If a location is deleted from a workspace, it will be deleted from all its linked services.
- The appointment made after the location deletion will not have this location details.
- The appointments which have been booked before deleting the location will retain the old location details in the appointment summary. If those appointments are rescheduled, the old location details will not be applicable.
7. Point to note
- The meeting info variable in the notification will return the location name and details.
- Include the meeting_info variable in the email and/or SMS notification templates to send the location details through the respective notifications.
- In custom functions, meeting_info variable will return the location details for offline appointments.
