QuoteIn-persons locations are predefined addresses that allows you to define where in-person appointments take place. They help communicate accurate venue details to customers and users, reducing confusion, delays, and missed appointments. You can use physical locations when meetings, consultations, or events are conducted at a specific office, branch, venue, or other on-site location.

1. How physical locations work  

Zoho Bookings allows you to add multiple physical locations within a workspace. These locations can then be associated with the event types offered in that workspace. When an appointment is booked, the selected location details are automatically included in customer notifications and calendar events, ensuring all participants have the information required to attend the appointment.
Example: A company conducts product demos in multiple cities. By adding the appropriate venue as a physical location for each event type, customers receive the location details when they book, making it easier for them to find the venue and arrive on time.

Can add and manage locations for their assigned workspaces

Can view locations added to their assigned workspaces

 Can only view the location of their appointments


2. Steps to add in-person location 

You can add multiple locations under a workspace in the In-person Location module.  Any one of the locations can be linked to the event type of that workspace. 

2.1 Add location under Modules

  1. Navigate to Admin Center  ModulesIn-person Locations
  2. Click + New Location and enter the below details in the Add Location pop-up. 
  1. Workspace: Choose a workspace in which locations have to be added.
  2. Location name: Provide a name for the location.
  3. Location details: Provide a little more information on how to reach the location.
  1. Click Add. You can use these steps to add multiple locations in a workspace. Once a location is added, it can be linked to any of the event types in the respective workspace.


  1. Navigate to Event Types, select the event type > Basic Details tab.
  2. Select Offline as the Meeting Mode, then select any one of the locations.


3. Things to know 

3.1 What happens when an appointment is booked?  

  • When an appointment is booked, the customers will be provided with the location details in the Confirmation pageBooking summary, and Notifications(if opted).




  • Users can view the location details in the appointment summary.

  • If the appointment is added to the calendar, then the location details will be added to the location field of the calendar event.


3.2 Delete location 

To delete a location, hover over the required location, click the Options icon  , and select Delete



  • If a location is deleted from a workspace, it will be deleted from all its linked services.
  • The appointment made after the location deletion will not have this location details.
  • The appointments which have been booked before deleting the location will retain the old location details in the appointment summary. If those appointments are rescheduled, the old location details will not be applicable.

Point to note

  • The meeting info variable in the notification will return the location name and details.
  • Include the meeting_info variable in the email and/or SMS notification templates to send the location details through the respective notifications.
  • In custom functions, meeting_info variable will return the location details for offline appointments.
