Assign Tasks to a Team
Zoho Projects allows you to assign task to the teams in your project to perform the tasks more efficiently.

Add the Associated Team Field to a Layout
- Click
in the upper-right corner of the top navigation bar.
- Navigate to Customization > Layouts and Fields > Tasks.
- Associate Team field is listed by default.
- If removed, it can be added again from the Available Fields tab.
This field is a removable default field.
Assign Team(s) / User(s) to Tasks
Associate Team in List/Gantt view
- Select a project from the Recent Projects section or from the Projects tab in the left navigation panel.
- Click the Tasks tab in the top band and open the List/Gantt view.
- Check the box to the left of any task to select the task, then select Associate Team from the options.
- Alternatively, click on the cell corresponding to the task in the Associated Team column.
- Select the Team from the drop-down and click Save.
- If Associated Team is not available in the Task Detail page:
- Click
in the upper-right corner of the top navigation bar.
- Navigate to Customization > Layouts and Fields > Tasks. Associate Team field is listed by default.
- If removed, it can be added again from the Available Fields tab.
This field is a removable default field.
Associate User in List/Gantt view
- Select a project from the Recent Projects section or from the Projects tab in the left navigation panel.
- Click the Tasks tab in the top band and open the List/Gantt view.
- Scroll to the Owner column, click the user icon, and choose users from the drop-down.
Associate Team in Kanban View
- Select a project from the Recent Projects section or from the Projects tab in the left navigation panel.
- Click the Tasks tab in the top band and open the Kanban view.
- Hover over a task, check the box next to the task title, and select Associate Team from the options.
- Select the team from the drop-down and click Save.
Associate User in Kanban View
- Select a project from the Recent Projects section or from the Projects tab in the left navigation panel.
- Click the Tasks tab in the top band and open the Kanban view.
- Click the user icon in the bottom tray and choose users from the drop-down.
This action will be available in Add Task form, Task Details, Task List Views, Inline Edit as well as bulk update.
Update Field in Blueprint
- Navigate to
> Task Automation > Blueprint.
- Click on an existing Blueprint or create a New Blueprint.
- You can add Associated Team in Criteria.
- Before a Transition, Under Users, you can select multiple or single Associated Teams.
- During Transition and After Transition, you can update the Associated Teams field.
- The members of the selected teams will be able to perform the transitions.
Email Templates
- Navigate to
- Click on Add Email Template.
- Under Subject and Insert Placeholder field you will be able to add Associated Teams.
Email Alerts
- Navigate to
> Task Automation > Email Alerts.
- Click on Add Email Alert, under Notify users you can select Associated Team.
Task Notifications
- Navigate to
> Personal Preferences > Personal email.
- If a user subscribed to the notification for the tasks Assigned to me / my team, they will receive the notification if the task is associated to their team.
- Another notification Associated to team will be added in Task Notifications.
Custom View
- Select a project from Recent Projects or the projects list view.
- Click on the Tasks tab in the top navigation band.
- Click on the views drop-down and then click + Create Custom View.
- Select the Associated team criteria for your view.
