Appointment limits in Zoho Bookings let you control how many times an event type can be booked, as well as how often a customer can book it. These limits can also be set for a specific date range separately, helping you manage availability efficiently, prevent overbooking, and ensure fair access for all customers.

Appointment limits are rules that help businesses regulate how often a service or event can be booked, as well as how frequently individual customers can book appointments. These limits are particularly useful in avoiding overbooking, managing high demand during peak times, and ensuring all of your customers have fair access to your services. Without clear restrictions, a business may face situations where certain event types are overbooked or the same customer repeatedly books appointments, leading to scheduling conflicts and reduced service quality. Appointment limits provide a structured way to control booking volume and maintain a balanced, predictable calendar.
In Zoho Bookings, appointment restrictions can be applied at the event type level. You can limit:
Slots per Event Type – Define the number of appointments allowed per day for an event type. Once the limit is reached, no further slots will be shown for that day, preventing overbooking.
Slots per Customer – Restrict how often a specific customer can book an event type (e.g., once per day or only after a previous appointment is completed). This helps avoid duplicate or excessive bookings.
Custom Date Limits – Override the default limits for specific dates. (e.g., during holiday seasons or promotional campaigns). You can add multiple custom rules for finer control over availability.

Use case 1:
A wellness center offers personalized one-on-one yoga sessions for clients seeking focused attention and customized guidance. However, without restrictions, some clients book multiple sessions on the same day, which clogs the instructor’s schedule and prevents other clients from booking their preferred time slots. This leads to missed opportunities and an inefficient calendar.
To manage this, the wellness center enables the Slots per Customer restriction in Zoho Bookings and sets a limit of 1 booking per day for each customer. This ensures that once a client has booked a session for the day, they are restricted from booking additional sessions on the same day.
As a result, the instructor's schedule remains balanced, appointment slots are fairly distributed among customers, and each session continues to offer a calm, personalized experience.
Use case 2:
A legal consultancy firm offers daily consultation sessions for different types of legal matters. However, without limits in place, too many appointments get booked in a single day, causing overcrowded schedules and reducing the quality of service. This leads to rushed consultations, increased wait times, and limited availability for new clients seeking timely legal advice.
To manage this, the firm can enable the Slots per Event Type restriction in Zoho Bookings and set a daily limit such as 5 bookings per day for each event type. Once this limit is reached, no further slots are displayed on the booking page for that day. This ensures the firm can maintain a manageable workload, provide focused attention during consultations, and improve overall customer satisfaction.
5.Steps to add limits for appointments
Go to the desired event type. Hover over the event type card and click the Options icon
(three dots).

Click Edit to enter the event type settings. Under Availability & Limits, click Appointment Limits.
You can now configure limits with the below options:
Slots per Event Type :
Choose any one option from the dropdown.
No limit – Unlimited bookings allowed for the event type.
Per day – Restricts the number of bookings per day for the event type.
Enter the number to limit the bookings per day for the event type.

Example: Limit to 5 bookings per day. Once the limit is reached, no additional slots will be shown.
Changes are autosaved.
Slots per Customer :
Choose any one option from the dropdown.
No limit – The customer can book without any restriction.
Per day – Restricts how many times a customer can book this event type within a single day.
Enter the number to limit the bookings per day for the event type.
One active appointment – Allows rebooking only after the previous appointment is completed, cancelled, or marked as no-show.

Example: Allow only 1 booking per day per customer or prevent rebooking until the previous consultation is completed.
Changes are autosaved.
Custom Date Limits: You can choose the date range and can set both the limits for the chosen dates.You can define multiple rule limits for the same event type. This setting will over-ride the default limits for the chosen dates.
Choose any one option under the dropdown.

Click + Add Limits to set multiple rules for the selected period.

Example: Limit customers to 1 booking per day across all event types.Set a separate limit of 3 bookings for a specific event type between August 1 – August 31.
